Functions

After meeting designated triggered conditions, Automations can support to create, update, and delete record automatically in target forms.

Application Scenarios

  • There are Purchasing Form and Inbound Form in purchasing and inbound section of purchasing, sales, and inventory scenarios. If there is a new record of data added in Purchasing Form, you do not need to input it in Inbound Form manually. Because Automations can support the addition of new data automatically. If the warehouse keeper modifies inbound status to "Received" in Inbound Form, Automations will support to correspondingly modify purchasing status to "Received" in Purchasing Form.
  • There are many forms including Employee Entry Records Form, Resignation Application Form, Training Records Form, Leave Application Records Form, and Employee Information Form in personnel management system. If you have demands on modifying them, such as employee information, transfer, and resignation modification, you may need to modify multiple forms. But through Automations, you can avoid many operations and at the same time maintain data integrity accurately. Automations can support to initiate a workflow including to enter approval process after filling an entry or resignation application.

Term

Definition

Automation Name

You can create multiple Automations in one app. In order to differentiate them conveniently, you need to rename each Automation.

Trigger

Trigger includes create, update, and delete data. Only you have made Trigger can the Target Form change correspondingly.

Triggering Form

Triggering Form refers to the form that executes Trigger.

Triggered Condition

Only data that meets the Triggered Condition can execute the corresponding operation.

Triggered Actions

Triggered Action is one that can execute when there is a triggered action in triggering form and this form meets triggered condition at the same time.

Target Form

Target form is the form that can implement triggered actions.

Filter Condition

Fields in target form need to meet conditions. Only data meeting filter conditions can execute corresponding actions. You need to set filter conditions only when triggered actions are to update, delete, and update or create data.

Where to Set Automations

From a Form

Select a form and go to Settings > Edit > Extension > Automations.

  • If you have never set Automations in the form, you can click New Automation to create.
  • If you have already set Automations in the form, you can check them according to whether the form is as Trigger or as Triggered Actions. You can also set On/Off, Trigger History, Edit, Copy, and Delete in Automations.

From App Management

1. Click Workplace > Business Management > App Management.

2. Go to Advanced Features > Automations.

  • If you never create Automations in the app, you can click New Automation in the following two places:

  • If you have already created Automations, you can directly view and edit them in this page.

Setting Procedure

There are mainly 2 parts when setting Automations: Configure Trigger and Configure Triggered Actions.

Configure Trigger

Trigger refers to the triggered condition of Automations. Only when the form meets the condition, can Automations trigger the corresponding actions. You can set Trigger, Triggering Form, and Add Condition in Configure Trigger.

After finishing setting, you can click Complete. Then you can configure triggered actions.

Configure Triggered Actions

Triggered Actions refer to the corresponding actions in target form when data in the form meet Trigger. There is one part in Triggered Actions: Data Processing.

Data Processing includes Create Record, Update Existing Data, Delete Existing Data, and Update or Create Data.

Note

1. Automations currently cannot support to trigger Data Linkage, Formula, and Validations in Aggregate Tables.

2. Automations cannot guarantee to succeed every time when meeting conditions like network fluctuation and queue blocking. If Automations do not finish, you can view failed log in Trigger History and adjust it manually. If Automations are not triggered, you can check failed reasons in Checking Automations Failed Reasons.
