Adding Triggering Condition
After getting a basic understanding of what a trigger is, we continue to learn how to add a triggering condition.
What is a Triggering Condition?
Triggering condition refers to the condition that data in triggering form needs to meet. Only when the triggering form triggers actions and data in it meets triggering conditions can the triggered actions be triggered.
In the case of product purchasing, you need to submit a purchase application form, which includes application details. After being approved by managers, the corresponding data will be directly added to a purchase demand form. The data that is unapproved will be deleted.
In the PSI (Purchase, Sales, and Inventory) scenario, you can record basic information like order details in an order form. If some information needs to be changed, you need to fill out an order change form (workflow form). After being approved by the manager, you can directly modify data in the order form through Automations.
How to Add a Triggering Condition?
Step 1 Selecting Triggering Field
Select fields in the triggering form as triggering conditions. The supported types of fields are form fields and system fields (including Workflow Status, URL Parameter, Created User, Created Time, and Updated Time). Each field can only be added once as the triggering condition. Added fields cannot be selected again.
Note:
The following types of fields are currently not supported: Divider, Image, Attachment, SubForm, Query Data, Select Data, Signature, the current node, and the current approver.
Step 2 Setting Triggering Relation
Select triggering relations after finishing setting triggering fields. Different fields have different triggering relations. For example, you can set relations to is between, is within, and so on, for the Date&Time field. For the Number field, set relations to not equal to, is less than, is greater than, and so on. For details, see Triggering Relationships.
Step 3 Setting Triggering Value
1. Triggering values are decided by triggering conditions and relations. They may be single or multiple values, single select or texts, and empty values.
2. Press the Enter key after inputting one value to input another one when you need to set multiple values manually.
FAQ(s)
Q: Can I set more than one condition?
A: Yes. Multiple triggering conditions can be set.
Q: What should I notice when the triggering condition is set to Workflow Status?
A: When the triggering condition is set to Workflow Status, the following aspects need to be noticed:
- The triggering values include In Progress, Completed, and End Manually.
- Completed: The workflow is circulated normally and flows the End node.
- End Manually: There are alternative methods to end a workflow other than reaching the Completed state, such as clicking End Workflow or having an admin close the workflow. However, when the trigger action is set as Create Record," it is typically not supported to manually end the workflow.
- All workflows that have been completed before are considered as Completed.
Q: Will the workflow status be influenced when I set the triggering action to Update Record?
A: Yes. When triggering action is set to Update Record, the fields in triggering conditions and the workflow status are subject to the modified values.
