Introduction
Feature(s)
Serial No. is used to generate a serial number with a fixed pattern for a form. The serial number will automatically increase with each form submission, and you do not need to input values to the field.
Application Scenario(s)
- In the case of product management, you can set a product number for each product with the Serial No. field.
- In the case of human resources and administrative management, you can set an employee number for each employee through the Serial No. field.
- In the case of purchasing-sales-inventory management, you can set an order or inventory number through Serial No. field.
Preview
For example, in the case of inbound management, you can set inventory numbers with a fixed format through the Serial No. field, so you do not need to enter the field manually.

Rules for Serial No.
1. Add/delete/sort/edit Serial No.
- Add: Click Add to set relevant rules.
- Sort: Click and hold to sort the order of the rules added.
- Delete: Click to delete a rule.
- Edit: Click the corresponding rule to edit it.
Four kinds of rules can be set in Rule: Count, Date, String, and Field.
2. Count
Count is a required rule by default. You can make the following settings in it:
a. Length: The number of counting digits ranges from 2 to 12. The maximum value of the counting digits can limit the range of the serial number generated. When it is reached, the system will reset the counting. For example, if Length is set as five digits, the serial number will restart from 0 after it reaches 99999.
b. Leading Zero: It is enabled by default. You can click the on/off button to switch its status. After it is enabled, a fixed number of digits will be displayed. For example, if Length is set as five digits, the serial number will be displayed as 00001 when the leading zero is enabled. The serial number will be displayed as 1 when the leading zero is not enabled.
c. Reset Period: It refers to the condition when the serial number is reset. The following reset periods are supported:
- Reach the maximum: Serial No. will be regenerated from the initial value when the maximum number is reached.
- Daily: Serial No. will be regenerated from the initial value at 00:00:00 every day.
- Monthly: Serial No. will be regenerated from the initial value at 00:00:00 every first day of the month.
- Annually: Serial No. will be regenerated from the initial value at 00:00:00 every first day of the year.
Note:
During a reset period, if the maximum number is reached, Serial No. will be started again from 0.
When switching between different reset periods, the counting for each reset period is independent. If you have set the reset period as Daily and submitted three records, later you change the reset period to Monthly, then the system will start counting from the initial value. However, if you switch to Daily again, the counting will continue from 4.
d. Initial Value: The starting value of the counting. The initial value is 1 by default.
After the settings, click OK.
3. Date
There are two kinds of formats: Preset and Custom.
a. Preset
Select Preset and choose one of ten formats from the drop-down list.
b. Custom
Select Custom and input a desired format. Year, month, and day are represented by the following letters:
- Year: y
- Month: M
- Day: d
4. String
String can be used to differentiate the serial number of different businesses. Add String in Rule and input strings you need in the text box manually.
5. Field
Only fields in the current form can be added. You can add four kinds of fields: Single Line, Number, Radio, and Single Select (subfields are not supported).
6. Limitations of different rules.
The limitations of the four kinds of rules are as follows:

Resetting Serial No.
If there have been records in the form, you can reset the serial number manually. After resetting, the serial number will start counting from the initial value.
Modifying Serial No.
You can modify the serial number in the following three scenarios:
Editing Single Record
In Manage Data, select the record you want to view and click Edit to modify the serial number.
Batch Modifying
In Manage Data, click Batch Actions > Batch Edit > All Data and choose the Serial No. field in Please select the fields to be edited. You can modify it as Fixed Value, Formula, or Empty.
Updating Serial No.
In Manage Data, click Import to batch update serial numbers.
Note(s)
1. Only one Serial No. field can be added in a form.
2. Serial No. cannot be added in subforms.
3. You can not add the Serial No. field when setting formulas or validating form/workflow submission.
