Auto-remind

Introduction

Functions

Automatic reminders for handling a node within a time limit refer to workflow reminders that are initiated after a certain period.

Application Scenarios

  • Remind a node approver to handle the workflow

If a supervisor needs to approve a workflow within one hour after the workflow is initiated, the system will send a reminder at a fixed time (for example, send a reminder 45 minutes after the workflow is initiated). Therefore, a workflow backlog can be avoided as the supervisor will approve it within one hour after setting the automatic reminders.

  • Reminders for the missing workflow

There may be workflows that are missed in the work. It requires the system to remind the approver of pending workflows within a fixed time to prevent missing the workflows and thus delaying the work.

Setting Procedure

Where to Set

Take Purchasing Applications as an example and click Edit to design the form.

Click Workflow, select a task node that needs to be set, and click Advanced > Set Actions.

Node Processing Due Time

When designing a workflow, you can set a node processing due time for any workflow node (excluding the start node, end node, and CC Node). For details, see Node Due Time and Overdue Action.

You can set a custom time in Overdue Actions. The workflow reaches the node one minute later to perform subsequent actions.

Setting Processing Method

  • Actions: Auto-remind
  • Reminder Schedule: The default setting is At node due time, and you can also set Earlier than node due time for X Minutes/Hours/Days and Later than node due time for X Minutes/Hours/Days. The upper limit of X is 30 days, and the lower limit of X is 1 minute.
  • Recipients: A recipient is one who receives the reminder. The default setting is Node Approver and you can also customize Recipients.
  • Content: Content is the title text of the reminder message. The default setting is "There exist unfinished tasks. Please handle them in time" and you can also customize it.

Click OK after setting Overdue Action Settings and click Save.

Finally, click Save in the upper right corner and return to the app page.

Click the form you just set and submit a workflow record.

In My Tasks, the Node Approver can view how much time is left before Node Due Time.

After waiting for one minute, the recipient will receive a reminder.
