Special Circumstances

Introduction

When you set triggered action to Update or Create Record and form fields and subfields are included in the condition, triggering rules of automations will change in some special circumstances. The following will explain these special circumstances.

Take the triggering form / the triggered form as an example:

Not Meeting Conditions of Form Fields

In Configure Triggered Actions, when the condition of form fields is not met, the automation will create a record directly instead of updating.

Setting Form Field Value to SubForm Field Value

2. To create records, multiple data will be added by splitting subform records. (The subfield only supports the assignment of Custom or Empty.)

Not Meeting Conditions of Subfields

1. In Configure Triggered Actions, when the condition of form fields is met but that of the subfields is not met, the automation will create a record directly instead of updating.

2. To set rules of creating records, set the subfield to Field Value / Custom / Empty:

3. To create records, in records when form fields meet conditions, a corresponding subform record will be added.

Note: Only the subform set with conditions supports creating records, while other subforms without conditions will not create subform records.

Meeting Conditions of Form Fields/Subfields

1. In Configure Triggered Actions, when conditions of both form fields and subfields are met, update record and creating record will not be triggered.

2. To set rules of updating records, the subfield is only set to the field value of the triggering form。

3. Rules of updating records

  • When there are multiple sub-records in the triggering form that meet updating conditions, data behind will cover data in front when configuring update record line by line.
  • When there are multiple sub-records that meet conditions in the triggered form, all must be updated.
  • When configuring updating records, the form and the subform are both updated.

Not Supporting Configuration

Configuration is not supported when the conditions are set below:

1. When the subfield equals the subfield, configuration is not supported. You need to add at least one condition for form fields.

2. When the form field equals the subfield, you cannot add another condition that the subfield equals the subfield.
