Solutions for Importing Same Named Members/Dept.

Introduction

Problem Introduction

When importing member/department fields, the system cannot recognize members or departments with the same names.

For example, when there are duplicate departments in Contacts, records with such same named departments cannot be imported.

Application Scenarios

If there are too many members and departments in your company, it's unavoidable that there may be members or departments with the same names. In this case, you can modify data in the following two ways:

  • When configuring the form online, you can manually modify the member/department fields of failed records directly;
  • After the error report is downloaded, you can use the member's ID or the department's ID to import.

Note:

You can manually modify data only when the number of the same named records is less than 30.

Importing unknown departments' ID

Jodoo department ID is currently not open to the public. If your system does not support the API feature and there are some same-named members/departments when importing, you can download Same Named Members/Dept.ID in the error correcting page to know all the same named departments' ID.

Viewing Failed Data

If the data fails to be imported, a prompt about failed records will pop up. Then click Modify Failed Record on this page.

On the Modify Failed Record page, fields with errors are outlined in red. Hover your mouse on that field, and the corresponding reason for failure will be displayed.

Click to enter the member/department list, and select the correct member/department. After that, click OK and then Import Again.

Downloading Error Report

If the data fails to be imported, a prompt about failed records will pop up. Then click Download Error Report on this page.

In the downloaded error report, reasons for failure are listed in the Failed Record sheet. For example, the error might be caused by duplicate members or duplicate departments in Contacts.

In the error report, all the cases of duplicate members/departments are listed in the Same Named Members & Dept. ID sheet, including the corresponding member ID/department ID.

Data Importing Example

Click the Same Named Members & Dept. ID sheet in the downloaded error report, and modify the member field/department field in the previous Excel according to suggest to import styles. Then import again after modification.

Note:

In order to match members more precisely and quickly, please avoid the condition that there is "#" in member/department names.

Importing known departments/members' ID

If you have known the department ID/member ID and there indeed are some same-named departments or members, you can use the member's ID or department's ID when importing.

You can know the department ID through the Department API of Contacts API. Member's ID is also member's No.

1. Importing Methods

You can add "#" on the two sides of members/departments' ID when importing:

  • When importing members, if the number of the member Marry is 0001, you can use "#0001#" to match Marry's ID and import.
  • When importing departments, if the number of Sales department is 9, you can use "#9#" to match and import.

Note:

If there is only one "#" or no "#", the system will use the name without "#" to match and import.
