Original Value

Introduction

Feature(s)

Original Value means that when the fields are hidden, in data updating scenarios, such as reviewing workflows and editing data through the permission set, the hidden fields remain the same as the original value.

Application Scenario(s)

Original Value is applicable in workflows where different node approvers are responsible for filling in different fields without interfering with each other.

For example, field A is only visible to approver A, and field B is only visible to approver B. When approver A reviews and submits the form, the workflow flows to approver B. At this time, after approver B approves and submits the form, the value of field A in the form remains the value originally filled in by approver A.

Preview

1. After an employee fills in the Product Updates form and the approver reviews it, the Product Number, Product Image, and Product Price fields are hidden from the approver. The approver can only view the Product Name, Updated Content, and Confirm the Update fields. After the approver reviews and submits the form, the Product Number, Product Image, and Product Price fields remain at their original values.

2. If the value of hidden fields is empty and the approver completes the approval, the value of hidden fields Product Number, Product Image, and Product Price will be empty.

Setting the Workflow

1. Set the View and Edit permissions for the Start node in Workflow > Start > Node Properties > Basic > Field Permissions:

2. Set the View and Edit permissions for the Approval node in Workflow > Approval > Node Properties > Basic > Field Permissions:

3. Set approvers for the Approval node in Workflow > Approval > Node Properties > Basic > Approver:

4. After all settings are completed, save and enable the workflow.

Setting Hidden Field Default Value

Go back to Design, and set Hidden Field Default Value to Original Value in Form Properties.

Note(s)

For Single Line, Multi Line, Number, Date&Time, Radio, Checkbox, Single Select, Multi Select, Image, Attachment, Select Data, Signature, Member, Members, Department, and Departments fields, the following rules are applied when you select Original Value from Hidden Field Default Value:

1. For a regular form:

  • If a field has been set as an initial value and is invisible, the field value is empty when the form is submitted.
  • After setting initial values for the above fields, you can add Field Display Rules: The above fields will be visible when Option 1 is selected, and hidden when Option 2 is selected. It means when Option 2 is selected and the form is submitted, the values of these fields are empty.

2. For a workflow form:

  • Suppose you have set the above fields to be visible and editable at the start node and invisible at the approval node. Members can fill in fields and submit the form at the start node. If the approver submits the form directly at the approval node, these fields will remain at their original values.
  • Suppose you make all fields visible and add Field Display Rules: some fields will be visible when Option 1 is selected and hidden when Option 2 is selected. Members can select Option 1 and fill in these fields at the start node. If the approver selects Option 2 at the approval node, these fields will remain at their original values.
  • Suppose you add a Single Line field to the form, and you configure formulas for all the other fields based on the Single Line field. Besides, the Single Line field is set as visible while other fields are visible at the start node and hidden at the approval node. Members can fill in the Single Line field at the start node. If the approver updates this field at the approval node, other fields will remain at their original values, which are calculated through the Single Line field, after the form is submitted.
