Exporting Data

Introduction

Feature(s)

The Export feature enables you to export data to Excel files.

Admins and members can export data through Manage Data and permission sets respectively.

Application Scenarios

  • Admins can export data from Manage Data for archiving and backup.
  • Members can export data from Member Permissions for modification and then import data to update the data.

Preview

Here are the effects for different settings.

1. Choose Export data and files and Export as a local file.

2. Choose Export data and files and Export as a URL.

3. Choose Export data only.

Note:

If you choose Export data and files, you can both export data and files (such as images).

Setting Procedure

Where to Export

1. Export as an admin.

For an admin to export data, on the Manage Data page, click Export.

2. Export as a member.

For a member with the exporting permission to export data, in a permission set, click Export.

Selecting the Data to Be Exported

1. Export all data.

Select a form (let's say, the Employee Information form) you want to export, click  next to the form, and then click Edit.

To export data, click Manage Data > Export. If you choose All Data. all data in the form will be exported.

2. Export filtered data.

To retrieve the desired data, apply conditions using the Filter feature. For example, you can set a condition specifying that the employee's gender is male. By doing so, only the information of male employees will be presented.

To export the data you need, click Export > Filtered Data.

Other Settings

After selecting the data to be exported, select the contents and fields you would like to export:

1. Export data or files.

a. Export data and files

If you choose Export data and files, you can export both data and files (such as images and attachments). Here are the two ways to export images and attachments:

  • Export as a local file: export images/attachments as local files embedded in Excel files. The exported file is in a zip format. The feature is often applied in scenarios such as data backup.
  • Export as a URL: export images/attachments as URLs embedded in Excel files. The URLs have a validity period of 6 days. The feature is often applied in scenarios that require business collaboration. For example, share product lists or price quotes with clients.

For example, export images/attachments as URLs embedded in Excel files.

Note:

1. If you export images as URLs embedded in Excel files, you can click the URLs to preview the corresponding images. If you export attachments as URLs and click the URLs, you will download the attachments directly.

2. You cannot export the content in a Signature field as URLs.

3. If you want to export data when drilling data in stats/spreadsheets, you can also use the Export as a URL feature.

b. Export data only

If you choose Export data only, images and attachments cannot be exported.

2. Select fields to be exported.

Tick the fields you would like to export. For example, tick two fields: Product No. and Product Category.

Note:

All fields except Title are ticked by default. You can change the to-be-exported fields to your liking.

3. Rename images/attachments.

If you choose Export data and files and Export as a local file, you can rename images/attachments in the following two ways:

  • Keep File Name: keep the original name of a file. For example, if you upload an image named IMG_2017, its name will remain the same when you export the image.
  • Update to Field Value: change the original name of a file to the value of a field. For example, if you rename product pictures based on product names, then the picture of an apple will be renamed as "Apple.jpg". If there are multiple pictures, suffixes will be applied. For example, "Apple-(2).jpg" and "Apple-(3).jpg".

Note:

1. If you choose Update to Field Value, you can only choose the following fields: Title, Single Line, Number, Date&Time, Radio, Single Select, Member, Created User, Created Time, and Updated Time.

2. If you want to rename an Attachment field that is in a Subform field, you can also rename the field based on subfields.

4. Export data_id.

When you select Export with data_id, data_id will be exported to the Excel sheet, and you can import and update data by data_id. For details, see Importing Updated Data.

Notes

1. Time limit: Please download the attachment locally after exporting. The attachment will expire after 24 hours, or you can re-export and download again.

2. Attachment limit: The size of a single compressed package should not exceed 1 G, or the total number of attachments in a single package should not exceed 1,000.

3. Exported data limit: 16 M, 100,000 rows, 1,000,000 grids.

4. Attachment exporting is a paid feature. For details, contact our Sales Team.

5. If you are reminded of the number of data exceeding the limit, you can reduce the exported fields; or you can filter the data first and then export the filtered data.

6. The order in which the exported fields will follow the order you set. For example, if you drag the Product Category field to the top of the fields, the sorting rule will be applied to the exported fields.
