Personal/Public View
Introduction
Feature(s)
In Jodoo, a personal view refers to the view only available to the member who created the view. A public view refers to the view available to all members in a certain permission set.
Application Scenario(s)
- An admin can create a public view to display the records of a form and publish the form to members, thus improving data sharing and collaboration.
- A member can resave relevant records into a new personal view, only available to the member, thus viewing and managing records more efficiently.
Preview
1. For example, Vera creates a personal view that is unavailable to other members.
When these members switch to the corresponding permission sets, they can only view public views instead of Vera's personal views.
2. In fruit order management, if you set the Manage All Data permission for the sales department, members in the department can check all views after switching to Manage All Data in the permission set.
Setting Procedure
Creating Personal/Public View(s) as an Admin
1. Create a view.
In the permission set of managing and viewing data, an admin can click New, select Grid, Kanban, Gallery, or Gantt, and select Personal View or Public View. For example, an admin selects Grid and then Personal View:
Note:
If you select Kanban, Grouping Field will be the first proper field by default. The field without data will not be selected to group records. Grouping Field can be Radio, Single Select, Member, or Department.
2. Save added filter conditions.
In an existing view, when setting filter conditions, an admin can click Save to set the condition as a favorite. Then the admin can create a personal or public view of the same type based on the saved condition.
3. Resave an updated view.
When an admin makes the following changes in a public view, the change will take effect, and a prompt "Change" will appear in the view.
- When the admin modifies the filter conditions, sorting rules, display fields, and field order.
- When the admin changes Row Height, Column Width, and Freeze up to column in a grid view, changes Zoom Level and Column Width in a Gantt view.
Click in an updated view. Then you can select Update the View or Save as New View. For example, resave the updated view as a public view.
Note:
1. If you do not manually update the view or resave it as a new view, the change you made in the view will not be retained when you visit the form next time.
2. In a personal view, you can only resave an updated view when you edit the filter conditions, sorting rules, display fields, and field order.
4. Cancel change.
If an admin needs to cancel a change in a personal/public view, click in the view and then click Cancel Change. For example, cancel a change in a public view:
5. Adjust the view configuration.
If an admin needs to adjust the default style in the current view, the admin can click and choose Adjust View Configuration to adjust the view settings on the right pop-up panel.
Saving Personal View(s) as a Member
1. Save added filter conditions.
In the existing view, when a member adds a filter condition, the member can click Save and create a personal view of the same type based on the condition.
2. Resave an updated view.
When a member makes the following changes in a public view, the change will take effect, and a prompt "Change" will appear in the view.
- When the member modifies the filter condition, sorting rules, display fields, and field order.
- When the member changes Row Height, Column Width, and Freeze up to column in a grid view, changes Zoom Level and Column Width in a Gantt view.
Click in the updated view. Then you can refresh the view or save it as a new personal/public view.
3. Cancel change.
If a member needs to cancel a change in a personal view, click in the view and then click Cancel Change. For example, cancel a change in a personal view:
4. Adjust the view configuration.
If a member needs to adjust the default style in the current view, the member can click and choose Adjust View Configuration to adjust the view settings on the right pop-up panel.
Sorting Views
1. In the public view area, an admin with permission to view and edit data can sort views by dragging and dropping them.
2. In the personal view area, a member can sort personal views by dragging or dropping them. However, the member cannot drag a personal view to the public view area.
3. If there are too many views and the system cannot display all of them, hover your mouse over and sort them by dragging and dropping them.
Note:
All members can drag and drop personal views, but only admins with editing permission can sort public views by dragging and dropping them.
