Feature(s)

Permission Set Query can help you to manage all permission sets in the system. You can query permission sets based on members, departments, roles and apps, and can directly adjust members and permissions on the query page.

The Permission Set Query feature allows you to manage all permission sets in the system. This feature also enables you to query data based on members, departments, roles and apps, and directly adjust members and permissions on the query page.

Application Scenario(s)

The feature is applicable to the scenario where you need to manage many permissions. For example, in a company, members, departments, and roles have multiple form/dashboard permissions, and you need to manage them all in one place. To make it happen, use Permission Set Query where you can query, manage, and edit member permissions.

Take querying Jane's form/dashboard permissions and adjusting the members and permissions in Permission as an example.

Setting Procedure

To enable Permission Group Query, go to Management > Business Settings and turn on Manage Permission.

Where to Set

After turning on the Manage Permission, go to Management > Permission Center and click Permission Set Query to go to the Permission Set Query page.

Query Scope

You can query permission sets based on the following criteria:

  • Members: query a member's all permission sets based on the member's name.
  • Department: query a department's all permission sets based on the department’s name.
  • Role: query a role's all permission sets based on the department’s name.
  • App:
    • query an app's all permission sets based on the app’s name.
    • query a form’s or a dashboard's all permission sets based on the form’s or the dashboard’s name.

Note:

1. When you are querying based on member names, the query results do not include the permission sets to which the member's department/role belongs.

2. When you query data based on the department name, the query results do not include the permission sets of the department's superior and subordinate departments.

Check Other Permission Sources

On the Permission Set Query page, click Check other permission sources next to a member/department to view other permission sources for the member/department.

Edit Member

After finishing the query, expand the app list on the query page and click Edit Member below a form/dashboard to add or delete members who have permissions for the form/dashboard.

Edit Permission

In addition to editing members, expand the app list on the query page and click Edit Permission below a form/dashboard to modify the following information corresponding to the form/dashboard:

  • Name: set the permission set name and description.
  • Actions: perform operations on workflows and data.
  • Fields: view and edit permissions for fields within the form.
  • Data: add filters to set which data can be managed.

Note:

When you are editing permissions, only the permissions of regular forms can be edited, and the permissions of workflow forms cannot be edited. If you want to modify the permissions of the workflow form, go to Workflow > Node Properties > Field Permissions to adjust them.

Note(s)

On the Permission Set Query page, if you edit form/dashboard permissions through Edit Member and Edit Permission, the settings for permission sets in Publish > To Members will be synchronized.
