Basic Settings for Forms and Dashboards

Introduction

Feature Overview

In an app, an admin who has permission to manage the app can edit and configure forms or dashboards in the app.

Application Scenario

  • Rename forms and dashboards.
  • Create and sort folders.
  • Create/copy/delete/edit forms and dashboards.
  • Switch form types.

Permission Limit

Only admins with permissions to manage an app can set the app. Members can only visit the permitted forms and dashboards.

Definition

Form

A regular form is made up of different fields and is used for data collection. It can be switched to a workflow form.

Workflow form

A workflow form is specifically designed for the review and approval of data. It includes a built-in workflow functionality that allows data to flow to designated approvers for approval. In contrast, regular forms do not have this workflow feature and are used for general data collection purposes without the approval process.

Dashboard

A dashboard is used to aggregate and visualize collected data.

Folder

A folder is used to arrange forms/dashboards in an organized way.

Color:

  • Form: blue
  • Workflow form: yellow
  • Dashboard: purple
  • Folder: green

Creating

Creating in an App with Data

If an app has forms and dashboards in it:

1. Create a form/workflow form.

There are two ways to create a form/workflow form:

  • Create from Scratch: design a form from scratch.
  • Create from Excel: import an Excel file with data.

2. Create a dashboard.

Creating in an App Without Data

If the app is empty, you will see a page like this:

Creating Folder

1. Create a folder.

Click and select New Folder.

2. Create a subfolder.

Click of the folder where you wish to create a subfolder, and select New Subfolder from the drop-down list.

3. Create a form.

Click . and select New Workflow Form or New Form.

4. Create a dashboard.

Click , and select New Dashboard.

Basic Settings

Editing Forms

1. Click of the form you wish to edit, and click Edit.

2. Select the form you wish to edit, and click the Edit button. Note that this button is only available to members with the app managing permission.

Editing Dashboards

Procedures for editing dashboards are the same as those for forms.

1. Click of the dashboard you wish to edit, and click Edit.

2. Select the dashboard you wish to edit, and click the Edit button. Note that this button is only available to members with the app managing permission.

Changing Icon

Click  and then Edit Name & Icon. On the Name & Icon page, you can set Icon for a form or dashboard.

Renaming

1. Rename a form/dashboard.

If you need to rename a form or dashboard, click  and then Edit Name & Icon to set Name.

2. Rename a folder.

If you need to rename a folder, click  and then Rename.

Switching Form Type

Forms support data collaboration, and workflow forms allow you to set up workflows. You can switch between the two types of forms if necessary.

Sorting

Sorting Forms/Dashboards

1. Sort forms/dashboards by dragging and dropping.

You can sort forms and dashboards by dragging and dropping them or moving them in and out of folders.

2. Sort forms/dashboards in settings.

Another method is to click , select Move, and then choose the target folder.

For example, move the Employee Information form into the Employee Information folder.

Sorting Between Folders and Subfolders

1. Sort folders and subfolders by dragging and dropping.

You can sort by dragging and dropping the group to change the hierarchy of folders.

2. Sort folders and subfolders in settings.

Another method is to click , select Move, and then choose the target folder.

For example, move the Employee Information folder into the HR Management folder.

Copying

Copying Form/Workflow Forms

1. You can copy a form to the current app or another app.

2. Follow form copy rules.

The copy rules of forms are as follows:

Copy all fields.

Field properties

Copy all field properties.

Note that when you copy a form to another app, the settings for Data Linkage, Formula, and Lookup in the form will not be copied.

Form properties

Copy all form properties.

Workflow configuration

Copy all workflow configurations.

Data collaboration

Copy all configurations except permission settings of members.

Form publish permissions

Do not copy.

Dashboard data permission configuration

Do not copy.

Notifications

Copy all configurations of notifications. Notifications will be turned off after the copy.

Webhook

Copy all configurations of Webhook. Notifications of Webhook will be turned off after the copy.

Note:

1. When you copy a form that links fields within itself, fields in the copied form will link to fields in the new form rather than the original form.

2. When you copy a form that links fields from other forms, the copied form will maintain the same field links to the linked forms.

Copying Dashboards

1. Copy all components and settings.

2. Dashboards can only be copied to the current app.

3. All configurations of Reminder in the dashboard will be copied, but Reminder will be turned off after copying.

Deleting and Restoring Forms/Dashboards

Deleting

  • Form/workflow form: You need to enter the full name of it to delete a form with data.
  • Dashboard: You need to enter the full name of a dashboard to delete it.
  • Folder: A non-empty folder cannot be deleted. You can only delete it when you remove all forms/dashboards from the folder.

When deleting a form, you can check whether the fields in the form are referenced, thus avoiding accidental deleting.

The followings are the referenced contents you can query:

  • Option: associated with fields from other forms
  • Data Linkage: linkage condition, linkage field
  • Formula: referenced fields
  • Query Data: display fields, filter conditions
  • Select Data: display fields, filter conditions, data filling
  • Front-End Event: triggered field, response value – response field, header/body – header/body field
  • Permission Set: data permission

Restoring

If your form/dashboard is deleted by mistake, you can initiate a request to contact our Support Team for paid restoration.
