Custom Permission Set


This passage will introduce what is custom permission set and how to build custom permission set.

What is Custom Permission Set?

Different from predefined permission sets, custom permission set means that you can customize permission set for members according to your needs.

A custom permission set includes a Name setting and three permission settings (Actions, Fields, Data). Permission settings determine what data (Data) and what fields (Fields) can be managed in which ways (Actions).

Here are brief functions of three permission settings:

  • Actions: Set the data permissions for members. There are differences in the Actions of all data between workflow forms and regular forms.
  • Fields: Set whether the fields can be viewed and edited.
  • Data: Set how many records can be operated as mentioned above.

Demonstration

Commercial department members log in to Jodoo, click Order Management, and switch to the permission set of Commercial Permission.

  • Only data with their own name can be viewed.
  • Actions include Add, Import, Export, and Delete.

Click one record to edit. Commercial Name and Total Payment can be edited, Order Date cannot be edited, and Serial Number is a Serial No. field, which itself cannot be edited.

After changing their names to others, they will not be able to view data.

How to Build Custom Permission Set?

Step 1 Adding Members

Click Add Member and select members or departments who will be included in this set.

Step 2 Naming Your Permission Set

Click Name, and you can set the name and description to distinguish different permission sets so that admins can allocate permissions to members quickly.

Step 3 Selecting Actions

You can tick any Actions you need to assaign to your members. Ticking the permissions means members can perform the corresponding operations.

Note:

If you select any Actions, View will be automatically ticked, because View is the prerequisite for all other permissions.

Step 4 Configuring Fields

In Fields, you can tick View and Edit to configure whether the form fields can be viewed or edited.

Note:

As shown in the above image, you can only set Created User, Submitted Time, and Updated Time whether they can be viewed. These fields cannot be edited.

Step 5 Configureing Data

In Data, you can set filter conditions. In this case, only the data that meets the conditions can be managed. If you choose not to set any condition, all data in the form can be managed.
