Introduce SubForm display rules and how to set displayed Subform fields.

What are Subform Display Rules?

Apart from setting Field Display Rules for main form fields, you can also set Subfield Display Rules. By setting display conditions for subfields (fields in a subform), you can determine what fields will be displayed according to different conditions.


What Does It Look Like?

In production planning, you may produce fabric or garments. When setting Garment under Product Name in the subform, you need to input Style Number and Size. However, when you select Fabric, the two fields will not be displayed.

Where to Set

Select the subform, go to Field Properties > Subfield Display Rules, and click Add Rule.

If you have set subfield display rules, you can click Add Rule on the details page. You can also edit, copy, and delete the existing display rules.

If there are multiple subfield display rules, you can sort them by dragging and dropping them.

Setting Subfield Display Rules

For a subfield display rule, you need to make the following settings:

  • Relationship between multiple conditions: When there are multiple display conditions, you can choose whether to meet all of or any of the conditions.

    • all of: To display the field that meets all conditions.

    • any of: To display the field that meets any of the conditions.

  • Triggering field: Select a triggering field for the rule. You can only select a subfield in the current subform. The supported field types include Single Line, Multi Line, Number, Date&Time, Radio, Single Select, Checkbox, Multi Select, Image, and Attachment.

  • Filter relationship: Select a filter relationship according to the selected field type. Filter relationships include equals, does not equal, equals any, does not equal any, contains, does not contain, is empty, and is not empty.

  • Filter value: Define a value as the criterion to filter the triggering field. You can set a custom value or select an existing value.

After the settings, click OK.

Note:

1. A maximum of 200 display rules (including display rules set in the main form and the subform) can be added to each form.

2. A display rule can have a maximum of 50 conditions.

Other Rules

Supporting Setting Display Rules for Option Fields in Field Properties

For the Single Select and Radio fields in a subform, you can now set Display Rules directly in Field Properties. Different subfields will be displayed after members select different options. The rules added in Field Properties will be automatically updated to Subfield Display Rules.

Supporting Setting Display Rules for Options Accessed Through Lookup or Data Linkage

If you have set Lookup or Data Linkage for the Single Select field, you can still set the option in this field as a triggering field.

Supporting Following Display Rules When Viewing Data

When you view a single record in Manage Data, permission sets, notifications for creating a record, or through the internal link and public link, the data will be displayed according to display rules.


When to Turn to Subform Display Mechanism?

  • In the case of purchase, sales, and inventory management, you can make settings to display different product details for members to fill in according to the product they enter.

  • In the case of human resources management, you can make settings to display different recruitment details for HR to fill in according to different positions.
