Data Recycle Bin

Introduce what can you do in data recycle bin.

Updated over a month ago

What is the Data Recycle Bin?

Data Recycle is equivalent to a data transfer station which can retain the deleted data in the form within limited days. The feature is applicable to the scenario where you need to recover the data that was mistakenly deleted, or permanently delete the data you no longer need.

Prerequisite

This is an advanced feature that requires the standard or above plans. For details, see Pricing, or contact our Sales Team.

What Does It Look Like?

1. Take the Product Information form as an example: When viewing the product data, if you delete all by mistake, recover the deleted data in Data Recycle.

2. If some data is no longer needed, permanently delete it in Data Recycle.

How to Set Data Recycle Bin?

Step 1 Entering the Setting Page

There are two ways to access the Data Recycle page.

1. Select a form, and click Edit to access the editing page.

On the Manage Data page, click , and then click Data Recycle.

2. Select a form, and then click Manage Data.

On the Manage Data page, click , and then click Data Recycle.

Step 2 Filter

1. For the deleted data, set Filter to search for the data quickly. Then recover or permanently delete the filtered data.

2. If the data in Data Recycle exceeds the limit, the system will prompt you that the filter timed out during the filtering process.

In this case, modify the added filter condition, or set Deleted Time to limit the filter range.

Note:

If Deleted Time is not added as a filter condition, click Deleted Time to add it as a condition. The range will be this month (dynamic) by default.

Step 3 Display Fields

Customize Display Fields in Data Recycle. Display Fields are the content to be displayed so that you can find the data easily.

Step 4 Full Screen

If there is a considerable amount of data, click Full Screen to display the Data Recycle page in full screen so that you can display more content and make it easier to find data.

Step 5 Data Recovery

Recover selected data or all data. After the recovery, check the recovered data on the Manage Data page.

  • Recover selected data.

  • Recover all data.

Step 6 Delete Permanently

Delete selected data or all data. After the deletion, the deleted data in Data Recycle will be permanently deleted and cannot be recovered.

  • Delete permanently selected data.

  • Delete permanently all data.

When to Use the Data Recycle Bin?

  • In the case of employee management, if you delete employee information mistakenly because of improper operation, recover the deleted information via Data Recycle.

  • In the case of product management, if certain product data is no longer needed because the product is no longer produced, permanently delete the data.

With Data Recycle, you can handle complicated situations during data processing, thus making data processing more reasonable.

Note(s)

1. Data retention period

For different plans, the data retention periods are different. For the starter plan, the period is 45 days. Within the period, deleted data will be kept in Data Recycle and can be recovered. But for data that was deleted for more than 45 days will be permanently deleted and cannot be recovered. For details, see Understand Your Account Usage and Limits.

2. The data in Data Recycle does not count towards the total volume, and is only available in Data Recycle.

3. To avoid the impact of excessive data volume on the performance of Data Recycle, the recycle bin is updated. After the update, the recycle bin no longer supports Single Select in terms of data filtering.
