What is Data Access Permission?
There are two types of data access permissions, namely, All Form Data and Same As Member.
Access | Definition | Notes |
All Form Data | Members to whom the dashboard published can view all the data from the form in Data Source. | Publish the dashboard to the member to view all the data without the need of setting permissions in Data Source. |
Same As Member | Members to whom the dashboard published can view the permitted part of the data from the form in Data Source. | Set the access permission in Data Source for a member before the member can view the permitted data. |
Note:
Only when the data source is a form can you set the data access permission. In other types of charts, there is only one default option — All Form Data.
Application Scenarios
Different charts support different data access permissions when the data source is formed:
Chart Types | Available Access |
Stats |
|
Detail Table |
|
Spreadsheet | Same As Member |
Calendar | Same As Member |
Gantt |
|
For example, a member can only view the permitted data in a detail table, so you can select Same As Member beneath Access.
What Does It Look Like?
If a member is granted access permission, the member can view all the data in the detail table.
How to Set up?
You have to prepare data in advance.
Step 1 Editing the Dashboard
Take the Join dashboard as an example and click Edit to edit the dashboard.
Step 2 Adding Chart & Data Source
Add a detailed table and set Data Source to collect and display the data you need.
Select a form from Data Source. Only when the data source is a form can you set the data access permission.
Step 3 Setting the Data Access Permission
After setting Data Source, set the data access permission. You can select Same As Member from the drop-down list beneath Access.
Step 4 Changing the Permission Set
If you have not set the member permission or need to modify it, go to Permission Set > Publish > To Members.
What Data Factory/Aggregate Tables are?
In Data Factory and Aggregate Tables, you collect data from several forms in Data Source. It only supports obtaining all permissions in the data source form and does not support obtaining members' permissions in the data source form.
To configure different permissions to members, you can add Filters to indirectly configure permissions when setting the data from the Data Factory or Aggregate Table as the data source.
The following are the filters available:
Member Field: the current user
Dep. Field: the current user's department/the current user's department and its sub-department
After adding the filters, a member can view the data of the member, the member's department, and the sub-department. For example, you can add Filters for the data from departments.
Note:
If there is no member field and no department field in the record, you cannot filter the data from members or departments.
