How to Configure Batch Print Permissions

Introduction

By enabling Batch Print, you can allow members in the permission set to print multiple records at a time.


When to Use This Solution?

Batch printing can be useful in a variety of scenarios:

  • Education: Teachers can batch-print student grades.

  • Financial management: Finance staff can batch-print reimbursement requests.

  • Equipment management: Equipment managers can batch-print equipment identification cards.


What Does It Look Like?

When members access a form and switch to a permission set with Batch Print enabled, the Batch Print action is available.


How to Set It Up?

Step 1 Configuring a Permission Set

In the form where you want to enable batch printing, go to Publish > To Members > + Add Member. Add the members or departments who need to use Batch Print, then name the permission set Batch Print Permissions.

Under Actions, tick Batch Print. Then configure Fields and Data Permission as needed. Click OK to complete the permission set configuration.

Step 2 Configuring a Print Template

You may find that Batch Print is unavailable even after enabling it in a permission set.

This is because Batch Print only supports custom print templates. Default print templates cannot be used for this Batch Print action.

Therefore, after configuring a permission set with Batch Print enabled, you also need to create a custom print template for batch printing, as shown below.

Step 3 Setting the Available Scope

After configuring the print template, you need to set its Available Scope.

Click Print Template Settings and add the permission set configured before.


Note

If no custom print template is available to the permission set, members will not see the Batch Print action even if Batch Print is enabled for that permission set.
