This guide will focus on query scenarios in the education industry in which external members, like parents, often need to check scores, evaluations, and other relevant information. You can explore the two methods mentioned above and select the implementation solution based on scenario requirements.

What are Public Links?

In Jodoo, public links include the Public Query Link and Form Fill Link. They apply to different situations where external members need to query information.

Public Query Link and Form Fill Link have their advantages and limits. Businesses need to choose the most appropriate implementation solution according to the actual needs when designing and publishing forms:

In this application, the school manages scores by entering scores of each subject into a spreadsheet. It can publish the Score Spreadsheet to the student’s parents through the Public Query Link. Setting the expiration date of the Public Query Link to control its accessible time, ensuring that the parents cannot check the score before the validity period.

  • Provide an inquiry portal for parents to check students’ scores by student number and name,

  • Allow schools to release the portal in advance. However, it should be set as inaccessible before the validity period to allow sufficient time for entering and verifying scores.

How to Share the Public Query Link?

Step 1 Building a Score Spreadsheet

Create a Score Spreadsheet for entering student scores in each subject.

Step 2 Publishing the Score Spreadsheet

1. In Publish > To All > Public Query Link, enable the Public Query Link.

2. Set the Public Query Link as follows:

  • Query Conditions: Select Student Number and Name fields,
  • Click Set Validity Period to set the start and end times.

Click Save after the setting.

3. Click Copy to send Query Link and Query Conditions to students’ parents.

Application Scenario Two: Separate Forms Score Query

A school needs to enter scores for each subject into separate forms. The school can publish the Score Spreadsheet to the student’s parents through the Public Query Link. Set the expiration date of the Form Fill Link to control the opening time of the link to ensure that the parents cannot check the score before the validity period.

How to Share Form Fill Link?

Step 1 Building Score Form of each Subject

Create basic score forms for each subject, such as English Score Form, Math Score Form, and PE Score Form. Each form should contain fields of student number, name, and score. Take the English Score Form as an example, the fields are set as follows:

1. Create a Score Query Form. The fields are set as follows:

2. Make the following settings in the Query English Score field. Use the student number and name as filter conditions to check the English scores of corresponding students:

  • Query: Select English Score Form,
  • Show Records: Click Single,

Display Field: Click Score,

  • Add filter condition: Student number Equals Student number, Name Equals name.

3. As in the above steps, set the fields of Query Math Score and Query PE Score for checking the math and PE scores of corresponding students.

Step 3 Publishing the Score Query Form

1. In Publish >To All, turn on the Form Fill Link. Click Set Validity Period to set the start time and end time.

2. Click Copy to send Form Fill Link to students’ parents.
