Notificaitons of Record Updates

Introduction

Feature(s)

When the record in the form is updated, the recipient can be notified timely to check it.

Application Scenario(s)

  • In the case of product management, when certain records in the product information form are updated, notifications will be sent so that the recipients responsible for the product can be notified timely.
  • In the case of human resources management, when employees update their data in the employee information form, notifications will be sent so that HR can follow up with the updated information.
  • In the case of meeting room reservations, when the time or location of the meeting change, notifications will be sent so that all the attendees can get to know the update.

Preview

After setting a corresponding notification method, the recipients will be notified accordingly when the record is updated.

Rule(s)

1. You can only set Timing to When a record is updated for a regular form. This notification type is not available for a workflow form.

2. Notifications will not be triggered when the admin updates a record in Manage Data.

3. When members update data through public or internal links, notifications will be triggered if you set Timing to When a record is updated.

Setting Procedure

Where to Set

Click Extension > Notifications > New Notification, and go to the details page.

Select When a record is updated from the drop-down list under Timing.

Then you need to set the conditions that trigger the notifications.

Setting Conditions

You can set it to send notifications when any field is changed or when specified fields are changed.

1. Any field is changed

The recipients will be notified when any field in the form undergoes changes that meet the notification rules.

2. Specified fields are changed

When one or more specified fields in the form undergo changes that meet the notification rules, the recipients will be notified.

After setting Timing to Specified fields are changed, click Select Fields, then you can tick desired fields. After the settings, click OK.

Note:

If there are multiple specified fields, notifications will be triggered when any of these fields is changed.

You can also make settings on Conditions, Recipients, Content, and Method. For details about how to configure these settings, see Setting the Notification.

Comprehensive Application

When multiple members are responsible for the form, Member A will be reminded when specific fields are changed, and Member B will be reminded when other fields are changed. They will receive different reminders and then handle the corresponding data according to the reminder.

For example, Remind Peach when Order Number is changed; Remind Melon when the Latest Delivery Date is changed.

  • Remind Peach when the Order Number is changed.

  • Remind Melon when the Latest Delivery Date is changed.

Note(s)

If Field 1 is set as hidden to Member A and you set that notifications will be sent when Field 1 is changed, Member A will see the change of Field 1 in the reminder after Field 1 is changed.

It is better not to notify members of the updating details of fields they do not have permission to view.

Notes

1. You can only select When a record is updated under Timing in regular forms (not workflow forms).

2. If you set a notification for updated data, no notification will be sent when:

  • An admin updates data on the Manage Data page,
  • A member updates data via Automations.

3. When members enter forms through external or internal links to modify data, the notifications which are set as When a record is updated under Timing can be triggered after data modification.

4. If Field 1 is set as hidden to Member A and you set that notifications will be sent when Field 1 is changed, Member A will see the change of Field 1 in the reminder after Field 1 is changed.

5. It is better not to notify members of the updating details of fields they do not have permission to view.
