Manage Data

Introduction

Feature(s)

You can manage data submitted in forms on the Manage Data page where you can also view all data. If members need to view all data, you can set permissions of viewing all data for them in permission sets.

On the Manage Data page, admins can add, import, export, and delete data.

Note:

Admins can go to Manage Data to make relevant settings only on PC.

Composition

Manage Data is composed of data actions and a table.

  • Data actions: actions like adding, importing, exporting, and deleting data
  • Table: all data in forms

Data actions include the following aspects:

Update and Edit Data

Add

Add a new record. If you add data in a workflow form, no workflow will be triggered.

Edit and modify data directly and quickly in a table.

Batch Actions

Supported import modes: Add Data Only, Update Data Only, and Update and Add Data.

Export data to Excel.

Select fields to be edited and modify their values.

Print multiple records at a time. Currently, only customized templates are supported.

In a form with the Attachment and Image fields, you can export all attachments at a time.

Print the QR code of single record and the QR code/barcode of single field for the purpose of equipment identification plates, commodity price tags, and so on.

Change the approver in multiple records into others.

Batch end the workflows that have not finished.

Filter

Search all data in forms and match the data that are going to be viewed according to keywords.

Filter all data according to conditions set.

Delete

Delete data

Delete data that are not needed. Data deleted will be in Data Recycle.

Recover

Recover data deleted in Data Recycle. Delete Permanently is also supported.

Table Styles

Row Height

Four kinds of row height are supported: High, Medium, Low, and Fit.

Display Fields

Fields that needs to be displayed when you view data.

Data Analysis

Number fields in forms support the following aggregations:

  • Sum
  • Average
  • Max
  • Min

Workflow forms support two more features than regular forms: Batch Change Approvers and Batch End Workflows.

Setting Procedure

Where to Set

1. Select a form, click , and go to Edit > Manage Data.

2. An admin can also go to Manage Data directly on the form visiting page.

Action(s) in Header(s)

You can set the following aspects in headers:

1. Sort

Click beside the header. Different fields have different sorting ways.

Sorting Way

Definition

Sort by Same Value

Member, Members, Department, and Departments.

Sort data with same member/department together so as to view the data in the order of member/department.

Ascending and Descending

Number, Date&Time, Single Select, and Radio.

Sort in ascending or descending order according to the value. (Fields in subforms are not supported to sort.)

  • Ascending and Descending

Note:

Each field can only be included in a sorting rule once, and you can add a maximum of five sorting rules.

2. Hide Column

Directly hide data of any column that you do not need to view.

The action is equivalent to unticking the field in Display Fields.

3. Filter

Quickly filter one of fields in its header.

You can also filter data in Filter of data actions.

On the Manage Data page, directly add data.

Note:

If the form is a workflow form, no workflow will be initiated after you add data.

2. Batch Actions (export/delete/batch edit/export attachments/print QR codes/batch print)

For some batch actions, you need to select data before setting.

3. Row Height

Four kinds of row height settings are supported: High, Medium, Low, and Fit.

4. Display Fields

Set fields displayed when there are too many fields so as to view key information.

5. Refresh

Click  in the upper right corner to refresh all data in the table.

It is also to refresh data when you view data in permission sets.

Note(s)

Only admins who have app management permissions can set Manage Data. If members need to manage data, you can set relevant data management permissions for them on the Publish page.
