Batch Printing (Data)

Introduction

Feature(s)

If you click Batch Print, you will print the records you need in batches, thus simplifying operations and improving efficiency.

Application Scenario(s)

  • For vehicle application, employees may apply for vehicles several days in advance. To store and manage vehicle documents, the vehicle admin will print out the vehicle applications one day in advance and provide vehicles. In the scenario, you can use the Batch Print feature to print out all the vehicle applications, simplifying the printing process.
  • For product information management, to save and manage the records offline, use Batch Print to print multiple records at one time.

1. Print records through the system print template (Print Table).

2. Print records through the custom print template.

Setting Procedure

Where to Print

1. Print records on the Manage Data page.

On the Manage Data page, tick the records you need to print and click Batch Print.

2. Print records via permission sets.

If you are granted the permission of batch printing, tick the records you need and click Batch Print.

The followings are the permissions that support batch printing:

1. Predefined Permissions

There are five predefined permissions that support batch printing, namely Add and Manage My Data, Manage All Data, View All Data, View All Workflows, and Manage All Workflows.

2. Custom Permissions

Go to Publish > To Members > Add Member to select a member. Then select Custom and tick Batch Print in Actions.

How to Print

There are two types of batch printing, including the system print template (Print Table) and the custom print template.

1. Table print template

If you select Print Table, you will print records in batches through the system print template and can print all the records in the form of a table on one PDF.

Click Batch Print > Print Table to print the records through the system print template.

For example, on the Manage Data page, use the system print template to print a table.

Note:

If you have not added a new print template, you will use Print Table to print records in batches by default.

2. Custom print template

If you select the custom print template, print records in batches through the template and use the template to print all the records on one PDF.

If you have added a print template, select the custom print template when you print records in batches via permission sets and Manage Data. Then download the PDF before printing it.

For example, on the Manage Data page, the product number is 00006. Print the record through Custom Template.

Viewing Print History

On the Manage Data page, click , and go to History > History | Batch Print to view the print history.

For example, go to Manage Data to view the print history.

Note(s)

All the Permitted Records

1. For permission sets, if you have permission to batch print records in one permission set, the Batch Print button will be available for all the permitted records.

2. The history of batch printing will not be displayed in all the permitted records.

3. If you print all the permitted records in batches, you can only use the system print template to print them and cannot use the custom print template.

Others

1. In Batch Print, you can only print the selected records. A maximum of 100 records can be selected each time for batch printing.

2. You cannot print the display fields in Select Data and RelatedData.

3. You can only batch print records on PC.

4. The download link of the custom print template will expire after 24 hours. If you do not download and print it within 24 hours, you need to regenerate the print link.
