Batch Editing Data


With the Batch Edit feature, you can modify multiple records simultaneously.

Application Scenario(s)

If business changes, you may need to modify data. For example, you need to batch edit the prices of products when its costs increase by 10%.

Setting Procedure

Where to Set

Batch Edit can be used in Manage Data and permission sets. Admins and members who have permissions can use this feature.

1. Batch edit as an admin.

An admin can select data that needs to be edited in Manage Data, and then click Batch Edit.

An admin can also do so in Manage Data > Batch Actions > Filtered Data or All Data.

2. Batch edit as a member.

A member can directly edit data in permission sets if they are given permissions.

Editing Data

Take operations in Manage Data as examples:

If you need to modify the type of some products, first select all data belonging to this type via Filter.

Then edit the data filtered.

1. Batch edited to fixed value.

Select Fixed Value and the data will be updated with the same values. This type of modification is applied to similar data.

After editing, you can check data and content edited.

2. Batch edit through formula.

Formula can be used to edit dynamic data. For example, if the cost generally increases by 10%, the price also needs to be increased by 10% in batches.

Different products have different prices. So you need to edit them through Formula.

Note:

1. Here are the fields supported to be batch edited through Formula.

a. Form fields: Single Line, Serial No., Multi Line, Number, Date&Time, Radio, and Single Select

b. Subform fields: Single Line, Number, Multi Line, and Date&Time

2. A maximum of 50,000 records can be batch edited each time.

3. Batch edited to empty value.

In some special cases, it may be necessary to clear some data. You can select Empty and batch edit the data to empty value.

History

1. Batch edit history.

View histories of batch editing in Manage Data > History > History | Batch Edit.

2. Single edit history.

For example, batch edit the price of products.

You can view editing histories in History of the data detail page.

Note(s)

Editing Rule(s)

1. Data cannot be canceled after batch editing. Operate with caution.

2. Fields that are ticked No duplicate values in Field Properties > Validation do not support batch editing data.

3. Only values in current column are batch edited. Data Linkage, Formula, and Validation will not be changed.

4. It takes some time to finish the Batch Edit operation. If it has not been completed after a certain period of time, you can close the page and make other settings. The Batch Edit operation will continue automatically.

5. Only one Batch Edit operation can be set at the same time in one form. After the last Batch Edit operation is completed, you can set another.

6. A maximum of 50,000 records can be batch edited each time.

Formula Rule(s)

1. Functions that are not supported in Batch Edit are as follows:

  • Math functions: SUMIF(), SUMIFS(), SUMPRODUCT()
  • Text functions: IP(), ISEMPTY()
  • Advanced functions: GETUSERNAME(), MAPX(), RECNO(), and MAP()

2. Here are the fields supported to be batch edited through Formula.

3. Here are the fields you can choose as parameters in your formula:

  • Form fields: Single Line, Serial No., Multi Line, Number, Date&Time, Radio, and Single Select, Checkbox, Multi Select, Member/Members, Department/Departments.
  • Subform fields: Single Line, Multi Line, Number, Date&Time, Radio, Checkbox, Single Select, Multi Select, Member/Members, and Department/Departments.

Note:

For subform fields, you can retrieve data from both form fields and subform fields. However, when it comes to form fields, you can only retrieve data from form fields.
