Customizing Notifications At Specific Time
Introduction
Feature(s)
Notifications for each form can be customized based on time. This feature acts like an alarm clock, regularly reminding members to complete their tasks on time.
Application Scenario(s)
- In employee management, notifications can be set for 3:00 PM every day, every Friday, or the 27th of each month to remind employees to summarize their work.
- In online course management, notifications can be set for 8:00 AM every day to remind students to attend class on time.

For example, after specifying a time, members will receive a notification timely.
Setting Procedure
Where to Set
To set the notification, click Extension > Notifications > New Notification and go to the Timing part.
Setting Timing
Select At specific time from the drop-down list under Timing.
Setting the Time Period
Start Time: the start time of the notification.
Frequency: If you select Only Once, the notification will be sent only once when the designated time is reached; if you define a fixed recurring period, such as Daily, Weekly, Biweekly, and so on, the notifications will be sent repeatedly according to that period.
End Time: the end time of the notification.
Setting Frequency
Frequency is divided into two types: fixed period and custom.
1. Set a fixed period.
a. There are six types of fixed periods available under Frequency: Only Once, Daily, Weekly, Biweekly, Monthly, and Annually.
b. For example:
Start Time | Fixed Period | End Time | Meaning |
2017-02-14 15:00:00 | Only Once | / | The notification will be sent at 15 o'clock on February 14th, 2017, only once. |
2017-02-14 15:00:00 | Daily | 2018-12-31 23:59:59 | A notification will be sent at 15:00 on February 14th, 2017, and the same notification will be sent every day after that (next time will be at 15:00 on February 15th, 2017, and so on) until December 31st, 2018, at 23:59:59. |
2017-02-14 15:00:00 | Weekly | 2018-12-31 23:59:59 | A notification will be sent at 15:00 on February 14th, 2017, and the same notification will be sent every other week (next time will be at 15:00 on February 21st, 2017, and so on) until December 31st, 2018, at 23:59:59. |
2017-02-14 15:00:00 | Biweekly | 2018-12-31 23:59:59 | A notification will be sent at 15:00 on February 14th, 2017, and the same notification will be sent after that every two weeks (next time will be at 15:00 on February 28th, 2017, and so on), until December 31st, 2018 at 23:59:59. |
2017-02-14 15:00:00 | Monthly | 2018-12-31 23:59:59 | A notification will be sent at 15:00 on February 14th, 2017, and the same notification will be sent after that every other month (next time will be at 15:00 on March 14th, 2017, and so on), until December 31st, 2018, at 23:59:59. |
2017-02-14 15:00:00 | Annually | 2020-12-31 23:59:59 | A notification will be sent at 15:00 on February 14th, 2017, and after that every year (the next time will be at 15:00 on February 14th, 2018, and so on) until December 31st, 2020, at 11:59:59. |
2. Customize a value.
Custom is divided into two types: Weekly and Monthly.
a. Weekly
When customizing the frequency, you can choose on which day or days of the week the notifications should be sent. For example, for employee meal orders, you can set it to send notifications from Monday to Friday and not send notifications on weekends.
b. Monthly
You can send the notifications on specific days of the month, such as the 1st, 15th, or 30th. This is useful if you have monthly activities that need to be reminded of on a set date each month.
The date setting of monthly notifications is divided into Specified Date and Relative Date.
- Specified Date: You can choose a specific day or days within a month to send notifications. However, if you set a notification for the 31st of every month, no notification will be sent in months with only 30 days.
- Relative Date: You can select Last Calendar Day. This means that the notification will be sent on the last day of the month, based on the number of days in the month. For example, if the previous natural day of the month is the 30th, the notification will be sent on the 30th. If the month has 31 days, the notification will be sent on the 31st.
Other Settings
Then you can set Recipients, Content, and Method.
Note(s)
1. You need to ensure that the recipients have access to the form and are in the proper permission set. This is important to ensure that the recipient is able to successfully receive and act upon the notifications. If they do not have permission, you can add them to permission sets.
2. You can customize notifications at a specific time for workflow forms as well.
