Publishing a Form to Members

Introduction

Feature(s)

When publishing forms to members, you can set data management permissions for members, allowing them to participate in data management, including but not limited to deleting, modifying, importing, and exporting data.

Application Scenario(s)

In product information management, when a product is changed, the product information also needs to be updated.

In this case, you can assign permission to update data to corresponding members, so they can update data without contacting the admin.

Where to Set

Select a form, click Edit > Publish > To Members > Add Member, select the target members, click OK, and assign permissions. After all settings are completed, click OK.

Note:

In workflow and regular forms, all publish-related settings are done on the Publish page.

Types of Permission Sets

There are two types of permission sets: predefined ones and custom ones.

  • Predefined permission sets: Jodoo presets several permission sets to help you quickly assign permissions. For details, see Predefined Permission Sets.
  • Custom permission sets: Admins can manually set data management permissions for members according to the enterprise's needs. For details, see Custom Permission Sets.

Configuring Permission Set(s)

You can assign permissions by clicking Add Member for the predefined or custom permission sets. The image below shows how to assign the permission set Submit Only for Jodoo Official.

In a permission set that has been added, you can click the area displaying members to add or delete members in the permission set.

Disabling or Enabling Permission Set(s)

If a permission set is disabled, members in it will no longer have corresponding permissions.

  • To disable all permission sets, click Disable All.
  • To disable a permission set, toggle off the menu on the right of Delete.

If a permission set is enabled, members in it will have corresponding permissions.

  • To enable all permission sets, click Enable All.
  • To enable a permission set, toggle on the menu on the right of Delete.

Note:

1. A copied permission set is enabled by default.

2. If you disable a permission set, you can still edit, copy, and adjust its members.

Editing Permission Set(s)

You can edit a permission set by clicking Edit on the right of the permission set name. For a custom permission set, you can change its name, operation permissions, and so on. For a predefined permission set, you can only change its name.

Note:

When editing predefined permission sets, you can only update the name.

Deleting Permission Set(s)

An invalid permission set can be deleted.

Note:

1. If a predefined permission set is deleted, click Add Member to add it again.

2. If a custom permission set is deleted, you need to set all permissions in it again manually.

Sorting Permission Set(s)

If there are multiple permission sets, you can drag and drop these permission sets to sort them.

Other Settings

Click Other Settings, you can configure View Styles, Print Templates, and Custom Button Settings.

Permission Sets on Mobile

Enter the mobile app and click the settings button on the right side of the form to go to the Publish to Members page. You can see the permission sets configured on PC.

Select a permission set and click Edit Member to add and remove its members.

Note:

To add, edit, enable, and disable permission sets, you need to perform operations on PC.

Differences Between Permission Sets for Regular Forms and Workflow Forms

Regular forms and workflow forms can be switched with each other.

In regular forms, permissions are mainly related to data operations, while in workflow forms, permissions are mainly related to workflows. Therefore, their predefined permission sets, as well as permissions provided in custom permission sets, differ.

Permission Setting Rules

1. Permission sets take effect both in the form and dashboard.

2. If a member is in multiple permission sets, the member can switch permission sets in the upper left corner when accessing the form to obtain data with different permissions. The member can also select All Data with Permission to obtain all data with permissions assigned.

3. When submitting, adding, or importing new data, you can set whether a field is visible or editable as follows:

  • To set field permissions in regular forms, go to Design, select a field, and go to Field Properties > Field Permissions.
  • To set field permissions in workflow forms, click Workflow, select a node, and go to Node Properties > Field Permissions.

4. When managing input data, you can set whether a field is visible or editable in permission sets.

5. When accessing forms through external links, you can only submit data instead of managing data.
