Publishing a Form to Members

What is Publishing a Form to Members?

Publishing forms to members means you can set data management permissions for members, allowing members to participate in data management, including deleting, modifying, importing, exporting data, etc.

Prerequisite

To publish a form, you should create a form first. If you haven't done this, you can create a form.

How to Publish a Form to Members?

Select a form, go to the Publish page, click To Members > Add Member, select the target members, click OK, and assign permissions. After all settings are completed, click OK.

Note:

In workflow and regular forms, all publish-related settings are done on the Publish page.

Types of Permission Sets

There are two types of permission sets: predefined ones and custom ones.

  • Predefined permission sets: Jodoo presets several permission sets to help you quickly assign permissions. For details, see Predefined Permission Sets.
  • Custom permission sets: Admins can set data management permissions for members according to the business needs. For details, see Custom Permission Sets.

How to Manage Permission(s)?

After setting permissions, here are some operations for you to manage your permissions, including configuring, disabling, enabling, editing, deleting, and sorting permissions. Other settings are also available. Let's explore these features!

1. Configuring Permission Set(s)

You can assign permissions by clicking Add Member for the predefined or custom permission sets. You can follow the steps below to assign the permission set Submit Only for Jodoo Official.

In a permission set that has been added, you can click the area displaying members, and add or delete members in the permission set.

2. Disabling or Enabling Permission Set(s)

If a permission set is disabled, members in it will no longer have corresponding permissions.

  • To disable all permission sets, click Disable All.
  • To disable a permission set, toggle off the menu on the right of Delete.

If a permission set is enabled, members in it will have corresponding permissions.

  • To enable all permission sets, click Enable All.
  • To enable a permission set, toggle on the menu on the right of Delete.

Note:

1. A copied permission set is enabled by default.

2. If you disable a permission set, you can still edit, copy, and adjust its members.

3. Editing Permission Set(s)

You can edit a permission set by clicking Edit. For a custom permission set, you can change its name, operation permissions, and so on. For a predefined permission set, you can only change its name.

Note:

When editing predefined permission sets, you can only update the name.

4. Deleting Permission Set(s)

You can delete an invalid permission set by following the steps below.

Note:

1. If a predefined permission set is deleted, click Add Member to add it again.

2. If a custom permission set is deleted, you need to set all permissions in it again manually.

5. Sorting Permission Set(s)

If there are multiple permission sets, you can drag and drop these permission sets to sort them.

6. Other Settings

Click Other Settings, you can configure View Styles, Print Templates, and Custom Button Settings.

What can be Done in Published Forms on Mobile?

1. Viewing Permissions

Enter the mobile App and click the settings button on the right side of the form to go to the Publish to Members page. You can see the permission sets which are configured on PC.

2. Editing Members

You can select a permission set and click Edit Member to add and remove members.

Note:

If you want to add, edit, enable, and disable permission sets, you need to turn to PC to make these operations.

What Difference should be Noticed Between Permission Settings for Regular Forms and Workflow Forms?

You have known how to publish a form to members and how to manage the permission settings.

Forms in Jodoo are divided into regular forms and workflow forms. In most cases, both of them can be switched with each other as shown below.

However, for regular forms and workflow forms, here are some differences shoule be noticed in permission settings.

In regular forms, permissions are mainly related to data operations, while in workflow forms, permissions are mainly related to workflows. Their predefined permission sets and custom permissions are different.

When to Publish a Form to Members?

When you need members to cooperate with you to manage data in a form, you can publish a form to revelant members and assign them permissions.

For example, in product information management, when a product is changed, the product information also needs to be updated. Then, you can assign revelant members permission to update data, so they can update data without contacting the admin.

Q: Can permission settings take effect in dashboards?

A: Yes. Permission sets can take effect both in the forms and dashboards.

Q: How does a member manage data if he/she is in multiple permission sets?

A: If a member is in multiple permission sets, the member has two choices to manage data. First, the member can switch permission sets in the upper left corner to obtain different permissions in different sets. Second, the member can select All Data with Permission to obtain all data with permissions assigned.

Q: How to set visible or editable fields when submitting, adding and importing data?

A: To achieve setting visible or editable fields, you can follow the steps below:

  • To set field permissions in regular forms, go to Design, select a field, and go to Field Properties > Field Permissions.
  • To set field permissions in workflow forms, click Workflow, select a node, and go to Node Properties > Field Permissions.
