Auto-submit

Introduction

Functions

Overdue Auto-submit means that a workflow will be automatically submitted after a certain period of time without approval.

Application Scenarios

Some workflows are less important, so they do not need to be approved and can be submitted automatically after a set time to avoid workflow backlog.

Preview

When a certain time is reached, the workflow will be automatically submitted, and the approver will be shown as System Robot in Updates.

Setting Procedure

Where to Set

Take the Node Submission of Order Form as an example. Click Edit:

In Workflow, select the workflow node for which you want to configure Overdue Actions, and then click Overdue Actions in Advanced.

Node Due Time

When designing a workflow, you can set a node due time for any node (excluding Start Node, End Node, and CC Node). For details, see: Node Due Time and Overdue Action.

In order to view the effect as quickly as possible, you can select Custom from the drop-down list of Node Due Time: Workflow reached node 1 Minutes later.

Overdue Action Settings

  • Actions: Auto-submit. If until the auto-submit deadline a workflow has not been approved, it will automatically flow to the next node.
  • Auto-submit Schedule: It is the time point when workflow finally triggers submission. The default setting is then, or X minutes/hours/day after. X are less than 30 days and more than 1 minute.

For example, you can set Later than node due time for 1 Minutes. When Node Due Time is reached and the approval has not been approved, the workflow will be automatically submitted after another one minute.

Then click Save.

Finally, click Save for the entire workflow form settings, and return to Order Form.

Demonstration

Click Order Form and submit a record:

In My Tasks, the approver can see how much time is left until the Node Due Time.

After Node Due Time is reached, the system will automatically submit the workflow one minute later. The approver will be shown as System Robot in Updates in Initiated.

Notes

  • If Auto-submit is triggered in Overdue Actions, the Node Submission will no longer be performed, and even if the Node Submission is not met, the workflow will still flow to the next node.
  • Therefore, you need to pay attention to the setting of the required items when automatically submitting the workflow; if not, the workflow may not be submitted normally.
