Field Display Rules
This article introduces what field display rules are and how to set field display rules step by step.
What are Field Display Rules?
Field display rules allow you to control which fields are shown based on specific conditions. For example, when conducting a poll, field display rules can automatically reveal additional questions after the user has entered their name and email. You can set multiple rules within a form.
Demonstration
In this article, we use returnee registration as an example. If you are returning from another city, you need to do a travel registration. If not, you can skip the travel registration. In this case, the value of Are you returning from another city? field decides if the Travel Registration field is displayed.
How to Set Field Display Rules?
1. Go to Design > Form Properties > Field Display Rules and click Add Rule to set the field display rules.
2. If a form has multiple field display rules, you can click Add Rule to add new display rules. You can also drag and drop the listed rules to sort and view the rules.
Condition Management
1. Logical relationship between multiple conditions.
A field display rule can have multiple conditions. The logical relationship between the conditions can be set as follows:
- all of: To display the field that meets all conditions.
- any of: To display the field that meets any of the conditions.
2. Set conditions.
After setting the logical relationship of multi-conditions, set a condition for the field display rule. The condition consists of three parts:
- Selecting a trigger field: Select a trigger field for the rule. Only the fields of forms can be set as trigger fields. Fields of subforms are not supported.
- Selecting a filter: Supported filters are different for different field types.
- Setting the value for the trigger field in the field display rule: Settings are different for different field types. You may need to enter a value or select an existing value.
Displayed Field Management
After finishing the condition settings, select fields to display. If the conditions above are met, the selected fields will be displayed. Otherwise, the selected fields will not be displayed.
In the case of returnee registration, if the user selects Yes for the Are you returning from another city? field, the Travel Registration field is displayed for the user to register.
Other Rules
Supporting Setting Display Rules in Field Properties
For the Single Select and Radio fields, you can set Display Rules directly in Field Properties. The rules added in Field Properties will be automatically updated to Field Display Rules in Form Properties.
Linked Field is Supported in Field Display Rules
Fields that enabled lookup or data linkage features are supported as trigger fields when you set conditions for field display rules.
The Name field in the form Returnee Registration is a Multi Select field. It is linked to the Name field of the form User Registration. When selecting the value for the trigger field in a field display rule, you can directly select the linked data to set the condition.
Multi-Level Display Rule Settings
1. Mind map of multi-level display rules.
In the multi-level display rule shown below, to display the How can we help you? field, you must select Yes for the Need help? field and No for the Was this information helpful? field. If you select No for the Need help? field or Yes for the Was this information helpful? field, the How can we help you? field will not be displayed.
2. Settings of multi-level display rules.
Add two field display rules for each level:
- When the value of the Need help? field equals Yes, display the Was this information helpful? field.
- When the value of the Was this information helpful? field equals No, display the How can we help you? field.
Field Display Rule is Effective for Managing Data
Upon checking the details of one record on the Manage Data, Permission Set, or Data page, the data will be displayed according to field display rules. In this case, it is easier for you to view the data.
Note(s)
1. Field display rule can display a Subform field as one field.
2. A form can have up to 200 field display rules, including field display rules of forms and subfield display rules for subforms.
3. Field A is the trigger field that decides whether field B is displayed, and field B is the trigger field that decides whether field C is displayed. Field C will not be displayed if field B is hidden.
