Introduction

Feature(s)

Set Field Permissions is to select the fields that an approver can view or edit when handling a workflow in My Tasks. It includes:

  • View: tick the fields below View, and view them when handling a workflow.
  • Edit: tick the fields below Edit, and you can both view and edit them.
  • Brief: tick the fields below Brief, and view them in the received message.

Application Scenario(s)

In the case of workflow approval, there are often two parts: application and approval.

  • An initiator only needs to view the fields involving application. Those involving approval will be unavailable to the initiator. You can untick the fields, which the initiator does not need to view, at the start node.
  • An approver does not need to edit the application. Therefore, you can tick corresponding fields under View and untick them under Edit at the task node.
  • If you need to cc'ed the reviewed workflow to the initiator, customize the available fields at the CC node.

Preview

In a workflow form, you can set the viewing and editing permissions for members. The following shows you an initiator's/approver's different permissions at different nodes.

Setting Procedure

Where to Set

In Workflow, select a node and go to Node Properties > Basic > Field Permissions to set View, Edit, and Brief.

View

Setting the View permission is to set whether fields are available to an initiator/approver.

You can either tick fields one by one or tick Select All to select all fields.

Edit

Setting the Edit permission is to set whether fields can be edited by an initiator/approver.

You can either tick fields one by one or tick Select All to select all fields.

Note:

Fields such as Divider and Serial No. can not be edited so that you do not need to select them.

If you add a Subform field in a workflow form, the editing permissions for the field include:

Add New Records: add a subrecord at the last row of the subform.

Insert Records: insert a subrecord above or below any row.

Editing Existing Records: edit existing subrecords. It is similar to editing form fields.

Delete Existing Records: deleting subrecords.

Search

If there are too many fields in a form, filter target fields by searching keywords. After filtering the fields, you can set View and Edit for the filtered fields.

Synchronizing Field Permission(s)

1. When you have set the View and Edit permissions in Design:

After finishing all the settings, click Save and return to the previously visited page.

Setting in Batches

Select several approval nodes to set Field Permissions in batches, making the approval process smoother. For the nodes that should be modified, configure permission for them after finishing the setting.

Demonstration

Click Vehicle Application, fill in the workflow form, and submit it.

Note: Fill in all the fields that can be edited before submitting the workflow form.

1. On PC

Click My Tasks and then the submitted application to view all the fields, and edit those that are permitted to be edited.

If there is Subform in the form, there are four ways to set its fields:

  • Add New Records: add a sub-record in the last line.
  • Insert Records: insert a record above or below a line.
  • Edit Existing Records: edit the created sub-records the way you do those in the main form.
  • Delete Existing Records: delete a line.
