What is Resource Usage?
Resource Usage gives business managers an overview of resource consumption and detailed usage by app and member, including app count, data volume, uploaded attachment volume, and usage counts for advanced features such as forms, workflow forms, dashboards, Automation Pro, and Data Factory.
The statistical support enables managers to promptly adjust resource allocation, so that team needs can be met and resource utilization efficiency can be enhanced.
How to View Resource Usage?
Resource Usage can be viewed in two ways: View by App and View by Member.
View Mode | Use Case |
View by App | View resource usage by app and identify apps with high resource consumption. |
View by Member | View the number of resources created by each member and track resource ownership. |
In the View Mode dropdown, select the desired mode. Then select the specific app or member and click Filter.
What will be Displayed when Viewed by the App?
Overview
The overview section displays the current or consumed amount of each resource in the selected apps.
Metric | Details |
App | The total number of apps within the selected scope. |
Total Data | The total number of data records in the selected apps. |
Uploaded Attachments | The volume consumed by attachment uploads in the selected apps. Uploaded attachment volume is not the same as the storage currently occupied by attachments. Traffic is consumed whenever an upload occurs. |
Regular Forms | The total number of regular forms in the selected apps. |
Workflow Forms | The total number of workflow forms in the selected apps. |
Dashboard | The total number of dashboards in the selected apps. |
Enabled Public Links | The total number of objects with external links enabled in the selected apps. |
Automations | The total number of Automations in the selected apps. |
Automations Pro | The total number of Automation Pro instances in the selected apps. |
Automation Execution | The number of executions of all Automation Pro instances in the selected apps. If an Automation Pro is deleted, its consumed execution count is still included in the statistics. This metric is available from June 29, 2026. |
Data Factory | The total number of Data Factories in the selected apps. |
Aggregate Tables | The total number of Aggregate Tables in the selected apps. |
BPA | The total number of Workflow Analyses in the selected apps. |
Refresh data
Data has a T+1 delay. In time-sensitive scenarios, it is recommended to manually click Refresh to get the latest data.
A prompt is displayed at the top of Usage Details: Latest data by YYYY-MM-DD. This date indicates the most recent synchronization time.
View usage trend
Click the icon next to a metric to open the Usage Trend popup.
View historical trend charts by day, month, or year.
Notes:
Usage trend data is available from April 29, 2024.
Uploaded Attachment Volume and Automation Execution Count are accumulated by product edition and by year.
For these resources, the trend chart provides two metrics: accumulated usage within the annual edition package, and usage by year, month, or day.
Usage Details
The Usage Details list displays one app per row.
The fields are as follows:
Field | Description |
App | The app name. |
Owner | The member who created the app. |
Created On | The time when the app was created. |
Last Edited | The most recent time when the app was edited. |
Last Accessed | The most recent time when the app was accessed. Only records from the past 3 years are retained. Access records older than 3 years are not displayed. For records older than 6 months, the specific access time is not displayed. Instead, the system shows Not accessed in the past 6 months. |
Total Data | The number of data records in the app. |
Uploaded Attachments | The volume consumed by attachment uploads in the app. Uploaded attachment volume is not the same as the storage currently occupied by attachments. Traffic is consumed whenever an upload occurs. |
Regular Forms | The number of regular forms in the app. |
Workflow Forms | The number of workflow forms in the app. |
Dashboard | The number of dashboards in the app. |

BPA | The number of Workflow Analyses in the app. Workflow Analyses that were enabled and then disabled are also included in the statistics. Therefore, this number may differ from the number currently in use, which is expected. |
View individual details
Click a corresponding value to view detailed usage information and distribution for that data.
In the detail view, click a business entity such as a form, Automation, or Aggregate Table to go to its corresponding location.
For supported detail data, you can export or refresh the data.
What will be Displayed When Viewed by a Member?
Overview

Usage Details
Usage Details displays the quantities of Regular Form, Workflow Form, Dashboard, Automations, Automations Pro, Data Factory, and Aggregate Tables, owned by each member.
If there are data created by users whose identity is unknown (i.e, not included in Contacts), the data owners will be categorized altogether as No Data.

Owner | The member name. Creator information was not recorded for resources created before March 5, 2024. These resources are displayed under Not Recorded. |
App | The total number of apps created by the member. |
Regular Forms | The total number of regular forms created by the member. |
Workflow Forms | The total number of workflow forms created by the member. |
Dashboard | The total number of dashboards created by the member. |
Automations | The total number of Automations created by the member. |
Automations Pro | The total number of Automations Pro instances created by the member. |
Data Factory | The total number of Data Factories created by the member. |
Aggregate Tables | The total number of Aggregate Tables created by the member. |
BPA | The total number of Workflow Analyses created by the member. |
Data Export
Click Export in the upper-right corner to export the current filtered results.
Notes
The exported data is consistent with the filtered results displayed on the current page. Confirm the filter conditions before exporting.
A single export supports up to 16 MB or 100,000 rows. If the data exceeds this limit, export it in batches.

Start time of usage trend data: Trend charts display data from April 29, 2024. No trend data is available before this date.
Start time of creator information: Creator information in Usage Details is available from March 5, 2024. For resources created before this date, the creator is displayed as Not Recorded.
Statistical scope of Workflow Analysis Count: Workflow Analyses that were enabled and then disabled are also included in the statistics. Therefore, this number may differ from the number currently in use, which is expected.
Statistical scope of Uploaded Attachment Volume: Uploaded attachment volume is not the same as the storage currently occupied by attachments. Traffic is consumed whenever an upload occurs.
Statistical scope of Automation Execution Count: If an Automation is deleted, its consumed execution count is still included in the statistics. This metric is available from June 29, 2026. Data before this date is not included.
Access time record range: The Last Accessed At field only retains records from the past 3 years. Historical records beyond this range are not displayed. For records older than 6 months, the specific access time is not displayed. Instead, the system shows Not accessed in the past 6 months.
Data refresh: Overview data has a T+1 delay. To get the latest data, click Refresh. The prompt Latest data as of YYYY-MM-DD at the top of Usage Details indicates the most recent synchronization time.
