Setting Permissions for Newly Added Fields When Saving Forms

When business requirements evolve, admins often need to add new fields to published forms. Traditionally, configuring permissions for these new fields across multiple permission sets can be tedious and inefficient. Jodoo now streamlines this process by allowing admins to set permissions for newly added fields directly during the form-saving process. You no longer need to navigate to separate settings pages or configure permissions one by one for each permission set.

How to set it up?

Let’s walk through how to set field permissions efficiently when saving a form. We’ll use the Order Form as an example.

Prerequisites

Before using this feature, please ensure:

  1. Custom Permission Sets
    The form must have custom permission sets already configured.

  2. New Fields Added
    You must have added new fields to the form since the last save.

Step 1 Preparing the Form

Ensure the form has custom permission sets already set up. For example, the Order form has custom permission sets like Jodoo Training and Jodoo Marketing.

Step 2 Adding New Fields

Edit the form and add the required fields, such as Notes.

Step 3 Configuring Permissions

After saving the form, a "Set Now" button will appear. Click it to enter the permission configuration page.

You can directly configure field permissions when saving the form. The system supports two methods for setting permissions, which can be used individually or in combination:

  • Set permissions for an individual permission set: Configure field permissions for a single permission set as needed.

  • Batch set permissions for multiple permission sets: Select multiple permission sets and configure their field permissions collectively.

Note:

After using batch selection, clicking "Cancel Batch Selection" will not remove previously set permissions. This allows for phased configuration—set permissions for one batch, then select another batch and repeat, finally saving all settings together.

For example, suppose you have five permission sets: A, B, C, D, E.

  1. First, set the permissions for permission set A.

  2. Next, use Batch Select to set permissions for permission sets B and C together.

  3. After finishing with B and C, cancel the batch selection. Then, batch select permission sets D and E to set their permissions.

  4. Finally, click the "Ok" button to save all configured permissions.

Permissions for the newly added fields are successfully set for all five permission sets (A, B, C, D, and E) in one streamlined workflow.

With this feature, setting permissions for newly added fields is faster and easier. Admins can configure permissions for individual or multiple permission sets directly during the form-saving process, improving efficiency and accuracy.
