What is Attachment Download Control?
The Attachment Download Control feature allows you to manage member permissions for downloading and printing attachments/images from where they are viewed. This helps prevent data leaks, tampering, and malicious distribution, safeguarding business data security.
Two levels of control are supported:
Global Control: Prohibit members from downloading and printing attachments/images across all apps.
Per-app Control: Prohibit members from downloading and printing attachments within all forms/dashboards in a certain app, or only within selected forms/dashboards.
Attachment Download Control is commonly used for managing internal business materials and trade secrets. For example:
Product Management: Restrict access to product formulas so employees can view them but not download them.
Financial Management: Ensure that financial or management documents can only be viewed by authorized members, preventing leaks or circulation.
Note:
This is a paid feature. For details, please contact our Sales Team.
What does It Look like?
Global Attachment Download Control
Taking the submitted form data as an example, when members view images, the download button is not visible, meaning downloading is prohibited. The effect is shown below:
When global attachment download control is off:
When global attachment download control is enabled:
Per-app Download Attachment Control
For example, in contract management, when members view data in the permission group, they can only view the contract content, yet are unable to download it. The effect is shown as follows:
How to Set It up?
Global Attachment Download Control
The super admin or business owner can access Management > Product Settings to enable/disable Global Attachment Download Control. As shown in the figure below:
Per-app Attachment Download Control
After entering one app, you can access App Management > App Settings to enable Attachment Download Control. Once enabled, you can set the scope of control:
All forms & dashboards: Members cannot download/print images and attachments in all forms and dashboards within this app.
Specific forms & dashboards: Members cannot download/print images and attachments in specified forms and dashboards within this app.
Taking the example of setting the effective scope as Specific Forms & Dashboards, after selecting this option, you can add the forms and dashboards that need to be managed. As shown in the figure below:
Note:
If Global Attachment Download Control is enabled, Attachment Download Control in all apps will be automatically activated and cannot be turned off. In other words, Attachment Download Control within apps can only be configured when Global Attachment Control is disabled.
More to know about Per-app Attachment Download Control
This feature provides control over viewing accesses, namely:
The control configuration is based on the form/dashboard page where members view attachments
It is not affected by the source of attachments and only depends on whether the control is enabled on the current page.
Common viewing scenarios and control rules are shown in the table below:
Scenarios | Rules |
Viewing Attachments in Forms | This depends on which form is currently being viewed. For example, the attachments in Form B are associated with Form A (via features such as Select Data, Lookup, or Data Linkage); If you want to prevent members from downloading the attachments in Form B, you need to enable Attachment Download Control in Form B. |
Viewing Attachments in Tables | It depends on which page (form/dashboard) is currently being viewed. For example, if members are on the Sales Revenue Analysis dashboard and open an attachment directly from a table, yet that attachment originates from the Sales Revenue form, you would need to enable Attachment Download Control in the Sales Revenue Analysis dashboard to prevent members from downloading.
|
Viewing Raw Data in Dashboards | Since now members are viewing the original data on the data details page, whether or not they can download the attachment is determined by the attachment download control settings of the form the data belongs to. For example, when viewing the Contract Analysis dashboard, you click on a data record in a table to enter the details page and view an attachment, as shown in the image below. If you need to prevent members from downloading attachments at this point, you must configure the controls for the form that contains the attachment.
|
Viewing Attachments while Viewing/Filling a Data Entry | It depends on whether the attachment download control is configured for the form to which the record belongs. For example, if you are viewing a record from the Supplier Statement form via an external link and want to prevent members from downloading attachments, you need to enable Attachment Download Control in the Supplier Statement form.
