What is Member Information Field Settings?
Field Settings allows you to manage member information fields in Contacts. Business Owners and Super Admins can view system fields, add and manage custom fields, and control whether members can view or edit their information in My Profile.
Who Can Use This Feature: Business Owners and Super Admins
Where to Find It: Management > Member Information Management > Field Settings
When to Use It
Complete member profiles: Add fields such as Employee ID, Date of joining, and Business Approver to collect more member information.
Manage information centrally: Manage member information fields in one place and use them when inviting, importing, exporting, or viewing members.
Protect sensitive information: Control which fields members can view or edit in My Profile to prevent unauthorized changes.
Manage Fields
Member information fields are divided into system fields and custom fields.
View System Fields
System fields are built into Jodoo. You cannot rename, change the type of, delete, or reorder these fields. The following system fields are available:
Field Type | Member Information |
Single Line | Contact Name, User ID, Mobile, Email, Alias, Employee ID, Gender |
Departments | Dept. |
Roles | Roles |
Add Custom Fields
Admins can create custom fields based on their organization's needs.
Jodoo provides the following custom fields by default: Position, Employment Type, Date of joining, Work Location, Date of Birth, Education Level and Business Approver. You can also add your own custom fields.
To add a custom field:
Go to Management > Member Information Management > Field Settings.
Click Add Custom Field.
Enter a field name and select a field type.
Field Name: Required and must be unique among all system and custom fields.
Field Type: Cannot be changed after creation. To use a different type, create a new field. For Single Select or Multi Select fields, configure the options and default values.
Click OK. The new field appears at the bottom of the custom field list with a Custom label.
Supported Field Types
Field Type | Example Uses | Description |
Single Line | Employee code, ID number, office location | Stores a single line of text. |
Number | Age, years of service, annual leave days | Stores numeric values. |
Date&Time | Date of Birth, Date of joining, retirement date | Stores dates in YYYY-MM-DD format. |
Member | Direct manager, Business Approver, HR business partner | Select one member. |
Members | Assistants, additional managers, 360-degree review participants | Select multiple members. |
Department | Region, department responsible for compensation | Select one department. |
Departments | Assigned departments, support departments, temporary assignment departments | Select multiple departments. |
Single Select | Education Level, political affiliation | Select one option. Supports a default value. |
Multi Select | Tags, qualifications, certifications | Select multiple options. Supports default values. |
Manage Custom Fields
Custom fields have a Custom label and can be edited, deleted, or reordered.
1. Edit Custom Fields
Click Edit next to a custom field to change its name.
For Single Select and Multi Select fields, you can also change the options and default values. But field types cannot be changed after creation.
2. Reorder Custom Fields
Drag the reorder icon to the left of a field to change its position.
New custom fields appear at the bottom of the custom field list.
Custom fields always appear after system fields.
The new order also applies when inviting, importing, exporting, or viewing members, as well as in My Profile.
Reordering fields here does not change the column order in Contacts. To change the column order, configure the field visibility and order in the Contacts list separately.
3. Delete Custom Fields
Click Delete next to a custom field and confirm.
Note: Deleting a custom field affects all members and any features that use the field. We recommend exporting Contacts to back up the field values before deleting it.
Where Member Information Fields Are Used
System and custom fields can be used when inviting members, importing or exporting Contacts, viewing member details, and managing personal information.
The following table shows common use cases.
Use Case | Description |
View Contacts | Click List Display Fields to show or hide member information fields in the Contacts list. |
Add Members Manually | Enter member information when adding a member. |
Import Members | Use member information fields in the Contacts import template. |
Edit Member Information | Update member information fields when managing members in Contacts. |
Export Members | Include member information fields when exporting Contacts. |
My Profile | Members can view or edit fields based on their permissions. |
Member Cards | Display member information fields on member cards. |
Member Information Table | Use member information fields as a shared data source across business apps. |
Member Information Table
The Member Information Table provides a shared source of member data for business apps.
For example, in reimbursement requests, probation reviews, or project applications, users can select themselves or another member to automatically fill in information such as Department, Employee ID, and Date of joining.
This reduces manual data entry and errors.
Setting Permissions in My Profile
Go to Management > Member Information Management > Field Settings.
Find the field you want to configure.
Set the permissions for the field in My Profile:
Visible: Controls whether members can see the field in their own My Profile.
Editable: Controls whether members can edit the field value in their own My Profile.
Permission Rules:
When you select Editable, Visible is automatically selected. Members must be able to see a field to edit it.
When you clear Visible, Editable is automatically cleared. Hidden fields cannot be edited.
Grayed-out checkboxes indicate system-controlled permissions that cannot be changed.
Note: In integrated organizations, Editable for the Contact Name field remains unchecked and grayed out. However, the Business Owner can still change their own contact name in My Profile.
Demonstration
After signing in, members can go to My Profile > Basic Info. Fields with the Visible permission are displayed. Members can edit fields with the Editable permission.
