How to Manage Your Own or Your Department's Data in a Dashboard

Introduction

By configuring permissions, you can allow members to view and manage their own data or their department's data in a dashboard.


How does it work?

  1. In the source form, configure a permission set that allows members to view and manage their own data or their department's data.

  2. In the dashboard, set Data Permission for the data source to Same Permissions As Source Form. When Same Permissions As Source Form is selected, the data that members can view in the dashboard is determined by their permissions in the source form.


What does it Look Like?

With permission settings, members can manage their own data or their department's data directly in a dashboard.

The following example shows all data from the current member's department.


How to Manage Your Own Data?

Step 1 Configuring Permissions

Open the Employee Profile form and click Edit to enter the form design page.

Go to Publish > To Members and create a custom permission set named Manage My Data.

Tick Select All in Actions and Fields and set Employee Name equals to Current User in Data Permission.

Then assign the Manage My Data permission set to the members who need to manage their own data.

Step 2 Editing the Dashboard

Open the Employee Information Analysis dashboard and click Edit to enter the editing page.

Find the detail table and click Edit.

Configure its permissions as follows:

  • Data Permission: Same Permissions As Source Form

  • Actions: Tick Use member permissions on handling single record

Click Save when you finish configuring the detail table. Then return to the dashboard editing page, save the entire dashboard, and return to the app.

Step 3 Checking the Result

Open the dashboard you just configured. In the Employee Basic Information Details detail table, members can only see data related to themselves. Other records previously visible in Manage Data are not displayed.

Click a record to open its details. Depending on the member's permissions in the source form, the member can perform actions such as Edit and Delete.

Members can also click Drill Data to view the corresponding record in the source form.


How to Manage Your Department's Data?

Step 1 Configuring Permissions

For the Employee Profile form, create a custom permission set named Manage My Department's Data. Configure Actions and Fields in the same way as described in How to Manage Your Own Data. For Data, configure the Department field based on the current member's department, as shown below.

Assign the Manage My Department's Data permission set to the members who need to manage their department's data.

Step 2 Editing the Dashboard

Open the dashboard configured earlier and edit the detail table. Add Department to Display Fields, and drag it after Employee Name.

Then save the detail table and save the dashboard.

Step 3 Checking the Result

In the Employee Basic Information Details detail table, members with the required permissions can view and manage all permitted data from their own department, as shown below.
