Introduction
By configuring Data in a permission set, you can allow members to manage data from their own department and its sub-departments.
When to Use this Solution?
This solution is useful when members need department-based access to business data, such as project progress, department documents, attendance records, and work reports.
How does it work?
Create a Daily Work Report form.
Configure a permission set that allows members to manage data from their own department and its sub-departments.
What does it Look Like?
Take daily work reports as an example. Suppose reports have been submitted by members from multiple departments. Erica belongs to the Sales & Marketing Department in Contacts. When Erica switches to the Manage Current Department and Sub-departments permission set, Erica can only manage data from the Sales & Marketing Department and its sub-departments. Data from other departments is not available to Erica.
How to Set it up?
Step 1 Building the Daily Work Report Form
Create a Daily Work Report form and add the following fields:
Field Name | Field Type |
Submitted By | Member |
Department | Department |
Submission Date | Date&Time |
Work Summary | Multi Line |
Step 2 Configuring a Custom Permission Set
Adding Members
Go to Publish > To Members and click Add Member. Select the required members from the Dept. & Member List, and click OK.
Selecting Custom Permissions
Under Member Permission, select Custom.
Configuring Permissions
You can customize the permission set name and configure Actions, Fields, and Data based on your business needs.
Using Erica's permission set as an example, configure it as follows:
Name: Set the name to Manage Current Department and Sub-departments.
Actions: Tick Select All to grant all available action permissions.
Fields: Tick View and Edit for all fields.
Data: Set the condition to Department equals to any of Current department and all supervised departments.
