Introduction
In some scenarios, members need to view, edit, or perform other actions on the data they submit. You can grant members permission to manage their own data while preventing them from accessing data submitted by others.
How Does It Work?
Create a Customer Visit form.
Configure a permission set that allows members to add and manage their own data.
What Does It Look Like?
For example, the Customer Visit form contains records submitted by multiple members, with each member assigned as the Visit Owner. When Erica switches to the Erica's Permissions, she can only add and manage records where she is the Visit Owner, as shown below.
How to Set It Up?
Step 1 Configuring the Form
Create a Customer Visit form and add the following fields:
Field Category | Field Name | Field Type |
Customer Information | Customer Name | Single Line |
| Customer ID | Single Line |
| Customer Status | Single Line |
| Customer Contact | Single Line |
| Contact Phone | Single Line |
Visit Information | Visit Owner | Member |
| Visit Method | Single Select |
| Visit Purpose | Single Select |
| Visit Notes | Multi Line |
Step 2 Configuring Permissions
Go to Publish > To Members and configure the Add and Manage My Data permission set. Depending on your business requirements, you can configure member permissions using either of the following:
The following sections describe how to configure each type.
Predefined Permission Set
For a regular form where members do not need Import permissions or customized field permissions, you can directly add the required members to the Add and Manage My Data permission set.
1) Select Members
Go to Publish > To Members, click Add Member, select the required members from the department member list, and click OK.
2) Assign the Permission Set
Under Member Permission, select Add and Manage My Data predefined permission set.
Custom Permission Set
If you are using a workflow form, or if a regular form requires additional permission settings, you can create a custom permission set based on your business requirements.
1) Select Members
Go to Publish > To Members, click Add Member, select the required members from the department member list, and click OK.
2) Select the Permission Set Type
Under Member Permission, select Custom.
3) Configure the Permission Set
Customize the permission set name and configure Actions, Fields, and Data based on your requirements.
For example, to create the Erica's Permissions permission set:
Name: Enter Erica's Permissions.
Actions: Select Select All to grant all available actions.
Fields: Select View and Edit for all fields.
Data: Set the data filter to Visit Owner = Current User.
