Form Fill Link

This article introduces the first method of publishing a form to all: Form Fill Link.

What is Form Fill Link?

Form Fill Link is a method for collecting data from external sources, providing an external link to a form. Members can complete and submit the form without logging into Jodoo. This method is quite useful. for example, when you want to collect data from individuals outside your organization, you can generate a Form Fill Link to share the form publicly so that external participants can access and fill in the form without needing to log in or be part of the organization. Or when you want to initiate an anonymous vote or survey within your organization, you can configure a form-fill link with a password and share it within your organization. This way, employees can access and complete the survey or vote anonymously, ensuring their responses are confidential.

Members can fill and submit a form without logging in to Jodoo through form-fill links.

How to Set Form Fill Link

Step 1 Enabling Form Fill Link

Go to Publish > To All > Form Fill Link, and enable the link.

Step 2 Sharing Form Fill Link

There are three ways to share the link:

Click Copy to copy and share this link.
Click Open for direct access.
Download and share the QR code.

External members can fill out the form by accessing the link or scanning the QR code.

How to Set URL Parameter and Embed Link

In Advanced, you can make the following settings:

URL Parameter: append different parameters to the link to mark different data sources.
Embed Link: embed Form Fill Link and Public Query Link on web pages to avoid information disclosure.

1. URL Parameter

a. Go to Advanced > URL Parameter, turn on the button, and add the corresponding URL parameter.

b. On the Manage Data page, admins can determine the source of each record by analyzing URL parameters.

2. Embed Link

Go to Advanced > Embed Link to embed relevant codes on web pages.

How to Set Access Limit

1. Set the password.

Tick Set Password and enter your password. Then members need to enter the password before filling out the form.

2. Set the validity period.

Tick Set Validity Period and set the validity period. Then members can only access this link within the specified period.

FAQ

Q1: How can I set styles of Form Fill Link?

Q2: Are there any limitations when using Form Fill Link?

A: Yes. Form Fill Link bypasses identity and permission checks. This leads to several limitations:

Fields requiring user-specific information (including Department, Departments, Member, and Members) cannot auto-populate.
Workflow initiator identification is unavailable for submissions via public links, though other workflow features remain functional.
The GETUSERNAME() function is unsupported.
Data permissions for forms and dashboards do not apply to submissions made through public links.

Q3: Are all features available when I fill out the form through Form Fill Link?

A: Some features that require the Jodoo platform's support are not available when you fill out the form through Form Fill Link.

Exporting data to Excel is unavailable.
The Allowing uploading with taking photos only and the Compress images automatically feature in the Image field are unavailable.

Q4: Is Form Fill Link free?

A: Yes. But what should be noticed is that for the free plan, the following prompt will appear at the bottom of the public link page. It will not be displayed after you upgrade your plan. For details, see Understand Your Account Usage and Limits.
