What is App Admin Group?

The App Admin Group allows you to assign permissions to members to manage different forms and dashboards within an App, and refine further permissions control down to the form level.

In the business organization, App Admin Group can meet multi-level permission needs, improve the permission management mechanism, enhance operational efficiency, and reduce management costs

Demonstration

Here is an example. After you set an App Admin Group and assign Erica certain permissions to manage the Grade Analysis form, Erica can view and edit the form and cannot perform other operations beyond this permission.

Prerequisite

This is a paid feature. For details, see Understand Your Account Usage and Limits.
To manage the App Admin Group, you must create an App first. If you have not done this, you can create an App first or follow the steps below to create an App.

How to Set App Admin Group？

Step1 Enabling App Admin Group

Here are two methods for you to enable App Admine Group.

1. Enable from Management > Business Settings

Super admins and the business owner can click the avatar in the upper right corner, and then go to Management > Business Settings to enable App Admin Group.

2. Enable from App Management

Super admins and the business owner can go to Management, and then click App Admin Group >Enable the Feature.

Note:
1. Only the business owners and super admins can turn on App Admin Group.
2. Once enabled, the business owner, super admins, and regular admins who have permissions to manage Apps can view and set App Admin Group.

Step 2 Adding an App Admin Group

After enabling App Admin Group, select an App, and go to App Management > App Admin Group > Add Admin Group.

Step 3 Setting the Basic Information and Admin

1. Setting the admin group name and description

After adding a group, set its basic information, includung the group name and description, to differentiate it from other groups.

Note:
The maximum number of App Admin Groups within an App is 100.

2. Adding an admin

On the App Admin Group page, click Add Admin > Add member to go to the member list and select members as the admins to manage the App.

Note:
1. The business owner, super admins, and regular admins cannot be added to any App Admin Group. Members in App Admin Apps cannot be set as super admins and regular admins.
2. Up to 100 members can be added to an App Admin Group.
3. One member can join up to ten Admin Groups , including regular Admin Groups and App Admin Groups.

Step 4 Setting Permissions

After adding an admin, you need to give the admin corresponding permissions in the App. App Admin Group supports two types of permissions as shown below:

Take Obtain Permissions for Some Forms/Dashboards as an example. After selecting the permission range, tick the forms and dashboards that the admin can edit.

Step 5 Setting the Management Scope

Management scope refers to scope that groups and roles can choose when admins in App Admin Group control forms, workflows, dashboards and publishments.

How to Revise App Admin Group？

Up to now, you have known how to set an App Admin Group. If you want to make some modifications, you can turn to the following steps which will tell you how to edit, copy, delete and sort your App Admin Groups.

1. Editing an App Admin Group

Go to App Management > App Admin Group, and then click Edit in a group to edit the settings.

2. Copying an App Admin Group

Click Copy in an App Admin Group to copy the settings.

Note:
1. When you copy an App Admin Group, the permission scope and management scope in the original App Admin Group will be copied simultaneously, but the admins need to be reconfigured.
2. When you copy an App, all the App Admin Groups within the App will be copied together, only the name, description and management scope of the App Admin Group will be retained, and the permission scope and admin need to be reconfigured.

3. Deleting an App Admin Group

If you do not need an app admin group, click Delete to delete the group.

Note:
When you delete an App, the App Admin Group within the App will be deleted as well.

4. Sorting App Admin Groups

If there are multiple App Admin Groups in an app, you can sort them by dragging and dropping according to the importance of App Admin Group or needs of businesses.

When to Use App Admin Group？

Here are some application scenarios for you to refer.

In the case of employee management, after setting super admins and regular admins according to the company structure, in-App admins are also needed to manage forms, dashboards, and so on within an App.
In the case of franchisee management, franchisees can complete all businesses within an App, which facilitates data confidentiality and clear division of management scope between different businesses.
When an App contains all the business of a branch and different business forms need to be handled by different departments of the subsidiary, the form/dashboard permissions can be set through App Admin Group to ensure clear rights and responsibilities.

FAQ(s)

Q: Does the number of admins in App Admin Group will take up sub-admins quota in Jodoo business?

A: Yes. It will take. For details , see Admins.

Q: If I disable App Admin Group, the relevant settings will be retained?

A: In the following two cases, if you disable App Admin Group, the relevant settings for an App will be retained, but the permissions you have set will not take effect.

The business owners or super admins disable App Admin Group.
After the plan is downgraded, the system automatically turns off the App Admin Group.

Furthermore, the number of App admins will take up sub-admins quota.
