Batch Initiating Workflows
Introduction
Feature(s)
An admin can batch initiate records with empty workflow status.
Application Scenarios
In the following scenarios, the Workflow Status of records are empty and the workflow is not initiated, which may cause inconsistency and inaccuracy in business process.
- When you switch a regular form to a workflow form, the original data in the form will not trigger the workflow, and the workflow status will be empty;
- If you do not select Initiate Workflow upon Import when importing data through Excel or API, the imported data will not trigger the workflow, so its workflow status is empty.
Preview
In a workflow form, go to Manage Data and selct records with empty Workflow Status. Click Workflow Actions and then Initiate Workflow.
Setting Procedure
Where to Set
An admin can batch create workflows for existing records with empty worflow status. Under Manage Data, selct the records with empty workflow status. Click Workflow Actions and then Initiate Workflow.
Notes
1. After the workflow is successfully initiated, the workflow initiator is the Created User of the record, and the workflow Initiated Time is the Created Time when the admin creates workflows for existing records.
2. When you batch initiate workflows, you can create workflows for at most 100 records with empty worflow status.
3. If the Created User belongs to multiple departments and the approval node is set to Sequential Approval, the admin needs to select the department for approval when initiates workflow for a single record. However, the admin cannot select the department for approval when batch initiates workflows.
4. After the workflow is successfully initiated, the Update Record type of Automations and Webhook will be triggered instead of Create Record, and the Triggered Action will remain the same.
5. Besides batch creating workflows for exasiting records, an admin can also click a single record and initiate workflow as follows.
