Introduction

Feature(s)

If you perform the CC feature, the system will send updates of a workflow to a member who needs to know the progress of the workflow. These updates can be sent after the completion of one node or the whole workflow to inform members of the progress.

CC Type(s)

There are two types of CC: CC Enabled at a node and CC node.

Scenario

Notify relevant members to check the updates of a specific workflow.

Difference

The two types of CC are different in configuring View and Brief under Field Permissions:

1. If you enabled CC at a node, the available fields under View and Brief remain the same.

2. If you add a CC node, you can set View and Brief for it separately.

They are different CC time:

1. If you enabled CC at a node, updates of a workflow will be cc'ed to a certain member when data flow to the node.

2. If you add a CC node, updates will be cc'ed only when the corresponding workflow is reviewed.

Similarity

1. CC'ed members can view data submitted at the previous node.

2. CC'ed members can only view the data, which will not interrupt the workflow.

3. The data that members are cc'ed to can be viewed in CC Me.

4. If Notify approvers and CC via emails under Workflow Reminder is ticked, cc'ed members will receive an email notification once the workflow reaches the cc node.

You can choose the appropriate type of CC based on specific scenarios.

Preview

When a workflow reaches a specific node or approvers have reviewed a node, the cc'ed members will be notified of the update. These members can track the progress of the workflow in CC Me in the app.

The timing of cc notifications depends on where the cc is set. For details, see the section "CC Types".

Selecting a Workflow Form

You can set CC in a workflow form. Select a workflow form where you need to set CC and click Edit.

Enabling CC at a Node

CC rules:

  • CC notifications are sent when the workflow reaches the specified node.
  • CC notifications cannot be enabled at the Start and End nodes.

How to Enable

To enable CC at a specific task node, click Workflow, click the task node you want to enable CC, go to Node Properties, and tick Enable CC.

CC'ed Member

After enabling CC, you can click Click to set a CC member to set cc'ed members.

  • Dept.: All members in the selected department will be cc'ed.
  • Roles: All members in the role group selected will be cc'ed.
  • Members: The selected members will be cc'ed.
  • CC Member Auto-assign: The workflow initiators and heads of different departments will be cc'ed.

Field Permission(s)

When CC is enabled at a task node, it inherits configurations of View and Brief from the node.

  • View decides the fields to display for the cc'ed members when they view the workflow details.
  • Brief decides the fields to display for the cc'ed members before they view the workflow details.

Note:

Up to six fields can be ticked under Brief.

Subform fields cannot be ticked under Brief.

Click the task node, go to Node Properties > Field Permissions, and tick the fields that you want to display under View and Brief.

Once you have completed the settings, click Save.

Note:

When CC is enabled at a task node, both cc'ed members and approvers can view the submitted record, but only the latter can edit it.

Demonstration

On the app visiting page, click the workflow form you just set, and submit a record.

To view all the cc'ed records, the cc'ed members can click CC Me in the app.

  • In the cc list, cc'ed members can see the selected fields under Brief.
  • To view record details, cc'ed members can click the record in the list to check the details of the selected fields under View.

CC Node

CC rules:

  • Members will be cc'ed when the connected task node is reviewed.
  • CC nodes can be connected to any node except the End node.

How to Add

Add a CC node by dragging and dropping when designing a workflow.

Note:

You cannot add a CC node to an enabled workflow. To add a CC node, you need to click Add New Version and click Enable.

CC'ed Member

Click the CC node and Click to set a CC member under CC member. The setting procedures are the same as those for "CC'ed Member" in the previous section.

Allowing Printing While Viewing

If you want to allow cc'ed members to print a record, tick Allow printing while viewing.

You can choose between Default Print Template and Custom Print Template.

Note:

The cc'ed members can only print fields ticked under View.

Field Permission(s)

You can set fields under View and Brief of a CC node. For details about their meaning and setting rules, see "Field Permissions" in the previous section.

The steps of configuring a CC node are shown in the figure below:

After finishing all the settings, click Save.

Demonstration

On the app-visiting page, click the workflow form you just set up, and submit a record.

After submission, cc'ed members need to review the workflow and click Submit.

Because you set a CC node, members will only be cc'ed after the node is reviewed.

CC'ed members can click CC Me to view the workflow data. They can print cc'ed record if you have ticked Allow printing while viewing.

Workflow Reminder

If you need to nofity cc'ed members to check the data in time, set a workflow reminder.

How to Set

Tick Notify approvers and CC via emails. For details, see Automatic Reminder.

Demonstration

Submit a record.

  • If you set CC at a task node, cc'ed members will receive a reminder immediately.
  • If you add a CC node, cc'ed members will receive a reminder after the connected node is reviewed.

Note:

The title of the workflow reminder cannot be modified at the moment, and only the displayed content can be customized under Brief.
