What is the Initiated Feature?
Initiated: data of workflows where you are the initiated user
There are two types of initiated workflows:
In Progress: workflows in processing
Completed: workflows completed
Initiated is used to view initiated data and progress of workflows, including those in progress and completed.
Where to Use
1. Initiated in the whole enterprise
2. Initiated in an app
What Does It Look Like?
On PC
On Mobile
Type of Initiated Workflows
Workflows In Progress
Workflows that are not processed completely will be displayed in Initiated > In Progress. You can view initiated workflows that are not processed and follow up promptly.
Completed Workflows
Workflows that are completed will be displayed in Initiated > Completed. Therefore, you can check which one is completed and end the workflow promptly.
All Workflows
Click All, and you can view all initiated workflows and their number.
Other Settings
Searching Workflow Information
1. Where to search
Click the type of workflows you want to search, and only results searched under that type will be displayed. If no type of workflow is selected, workflows in Initiated within the app will be searched by default. Moreover, workflows in the whole enterprise will be searched in Workflow Center > Initiated.
2. Search rules
You can search workflow form name, initiated user, current node, start time, and brief field values.
You can also search Date&Time fields by the following formats: YYYY-MM-DD, YYYY-MM, MM-DD, YYYY, MM, DD, and HH: MM (hour and minute). If the format of the Date&Time field is YYYY-MM-DD HH: MM, you can retrieve the record as long as the format entered matches the supported format. For example, formats such as YYYY-MM-DD HH: MM, YYYY-MM, and YYYY-M are all allowed to search initiated workflows.
Filtering
Workflows can be filtered by Workflow Status, Initiated User, Initiated Time, Workflow Form, and Current Node:
Note:
When you need to filter data by Current Node, you must first select the workflow form you want to filter.
If you want to filter in Workflow Center in Workspace, you need to select an app first, and then filter.
Sorting
Workflows in Workspace > Workflow Center can be sorted in the following three ways:
Latest
Earliest
Group by form
Click the arrow button to the right of Initiated, then you can select initiated forms and pin them to the top for prioritized display.
Note:
1. Group by form is only applied to the first 5000 workflows within the Initiated section. However, once a form is pinned to the top, it will no longer be subject to this limitation.
2. Sorting enables the front-end cache and the previous settings of sorting will be applied when you view data in Initiated next time.
