Q: What's the Difference Between Form and Workflow Form?

Form: Form can be used to collect data, such as update, delete, import, export. Different management permissions can be published to different people. If you just need to fill in data without processes, you can choose to create a form.

Workflow Form: Workflow Form can be used to approve workflows, such as reimbursement, leave request or other workflows. Workflow Form can be approved after submission. It focuses on data filling, that is, the flow is carried out according to the preset route, so that many people can complete a data entry in order and according to rules.

Note: Workflow Form and Form can be switched to each other.


Q: What is Field?

Different fields can be used to collect different data. You have to be careful when you choose fields because it affects whether Formula, Data Linkage, Lookup, and other functions can work as intended.


Q: How to choose right fields to collect data?

When collecting data that contain people's names, you can use Member fields if they are internal members, or Single Line fields if they are external. A Number field is used if the collected numbers need to be calculated by a mathematical function. A Single Line field is used if the collected numbers need to be calculated by a text function.


Q: What is A Subform?

A subform is similar to adding a table to a collection of data. The subform contains subfields that serve as the header of the table. The number of rows of data in the subform is not determined and is filled in by the person entering the data. For example, order details in the the order management system can be collected by a subform.


Q: What fields support formula setting?

Fields that support setting formulas include Single Line, Multi Line, Number, and Date&Time.


Q: Why does the formula not work?

Check whether the formula comply with the rules. For example, only operation symbols and punctuation marks in English are supported, and whether the number and type of parameters comply with the rules. For details about the rules, see Formula Rules.


Q: What is publishing a form?

Form publishing is a fast way to assign permissions. Publishing forms is equivalent to giving members the permission to submit data.


Q: Why is a field invisible to a permission set but still visible when data is created?

When creating data, follow the visible and editable permissions of fields in the form design interface. The visible and editable permissions of the permission group refer to viewing and editing the submitted data.


Q: Why is it that the fields are not visible in the form design, but still visible to members when they are filling data?

Check whether it is a workflow form. The field permissions for the workflow form are set at Field Permissions in Workflow.


Q: Why do some fields fail to be imported in certain permission sets?

Check the actions of this field in the form design. Only fields of which actions are visible and editable can be imported.


Q: What if I need to assign more data processing permissions to members?

Add a custom permission set at the data permission, and then add members that require more permissions to the permission set.


Q: Why is Multi–tab Display enabled but the tab is not displayed in Preview?

1) After Multi–tab Display is enabled, you need to add a field to the tab, or it will not be displayed.

2) If there are fields in the tab but none of the fields are visible, the tab will not be displayed.
