Using Subform Data to Create Form Data
Introduction
Functions
This function utilizes Automations to automatically fill in fields in a form by manually entering data into subform fields in another form. Any edits or additions made to data in the subform will be automatically retrieved and added to the corresponding fields of the forms.
Application Scenarios
- For example, in a vehicle management scenario, the details of vehicle applications can be recorded in the subform of the form Car Application. Once data is added, Automations is activated to automatically enter data in the corresponding fields in the main form Vehicle Use Record.
- For example, in a task management scenario, each task can be recorded in the subform of the form Task. Once data is added, Automations is triggered to automatically enter data in the corresponding fields in the main form To-Do Reminders.
Setting Procedure
In this example, we will be exploring the task management scenario.
Configuring a Form
(1) Create a form Basics, and add a SubForm field Details to the form.
(2) Create a workflow form and name it Reminder. Then add fields that match the fields in the subform Details.
(3) You can set Approver and field permissions of View and Edit in Workflow. For details, see Configuring a Workflow.
- Set permissions to View and Edit as follows:
- Select Approver for the Approval node under Basic and tick Select all under View and Edit.
Setting Automations
(1) Configure trigger
Go to the Extension page and click Automations > New Automation. Then rename the pop-up page, click Create Record, select Basics in the dropdown menu of Triggering Form, and click Complete.
(2) Configure triggered actions
Click Create Record under Do the following. Set Reminder as Target Form and link all fields in this form to corresponding fields in the subform of Basics. Finally, click Complete to finish the setup process.
Demonstration
Select the form you just set up, submit two records and Automations will be triggered to automatically add the information to the form Reminder and initiate the workflow.
Notes
- The number of main forms generated equals the number of pieces of data added to the subform.
