Updating and Adding Data
Introduction
Feature(s)
In addition to Add Data Only and Update Data Only, you can select Update and Add Data when managing your data.
- Update and Add data: You can both update add data by importing.
To edit data, you can select Update Data Only or Update and Add Data. If you need to both edit existing data and add data, select Update and Add Data.
Note:
You can only select Add Data Only and Update Data Only in a permission set. If you need to select Update and Add Data, go to Manage Data.
Application Scenario(s)
Update and Add Data is applicable to the scenario where you need to batch edit and add data.
Principle
1. Tick Export with data_id before exporting data.
2. After editing the data, import it back. The system will use the data_id to match and update the data accordingly.
Note:
1. The data_id is the unique identifier for each record in the system.
2. If you add data as well, the system will automatically generate a data_id for each newly added data.
Setting Procedure
Exporting Data
Select the Products Information form, click , and select Edit.
Click Manage Data > Export > All Data. Then tick Export with data_id and click Download now on the pop-up window.
Editing Data
Edit and add data directly in Excel.
Note:
After importing the data, the system will automatically generate a unique data_id for any newly added data.
Importing data
On the Manage Data page, click Import, select Update and Add Data, and then upload the edited Excel file.
Demonstration
As illustrated in the figure below, the system will match the edited data with its corresponding data_id and update the table accordingly. For any new record, the system will automatically generate a unique data_id.
Note(s)
1. If the data_id is incorrect (not found in Jodoo), the data will not be updated.
2. In the case of duplicate data_ids, all matching data will be updated to Jodoo with the latest data being taken.
3. If the amount of newly added data exceeds the remaining monthly quota, new data cannot be imported, and only edited data will be updated.
4. The workflow form supports updates by importing edited data as well. If you tick Initiate Workflow upon Import, the workflow will be started. However, the amount of data to be added should not exceed 300. Otherwise, any data that exceeds the limit will not be imported.
5. Data in subforms do not support updates by importing.
6. If the corresponding Excel field is empty during the importing and updating process, the data will not be updated.
7. If you have updated data, you cannot undo the action.
