Updating Data Only

Introduction

Feature(s)

For a designed form, existing data can be updated in batches through Update Data Only.

Application Scenario(s)

  • There are business scenarios where data is incorrectly filled but cannot be updated in batches directly;
  • If selected fields are incorrect, data needs to be migrated simultaneously after you change fields.

If you need to apply the same value to one specific field or update data through formulas, you can also use Batch Edit.

Preview

1. Import Excel files as an admin.

Go to Manage Data, and then click Import to import data.

2. Import Excel files as a member.

Access a form, switch to the permission set, in which you are granted the importing permission, and then click Import to update data.

Note:

When a member select Update Data Only, the admin should ensure that the member has the corresponding permission to edit data. Otherwise, the data cannot be updated.

Exporting Data

Select the Customer Information form, click , and then click Edit.

On the Manage Data page, click Export to export the required data, select Export Data Only, and tick Export with data_id. After exporting, download the Excel file locally.

Updating Data in Excel

Edit data that needs to be updated in Excel as follows.

Importing Data

1. Import from Manage Data.

Go to Manage Data, click Import, and select Update Data Only from the drop-down list of Import Mode.

2. Import from permission sets.

If you import and update data from permission sets in a form:

  • Importing and updating data can only update data with the data_id in this permission set.
  • Only fields that you have permission to edit in this permission set can be updated. Those that you don't have editing permissions for will remain unchanged after the update.

Demonstration

As shown in the following figure, after data is imported in Manage Data, the system will update the data corresponding to the data_id.

Notes

1. If you select Update Data Only as the import mode, the created data will not be added.

2. The data will not be updated if the data_id is incorrect (not found in Jodoo).

3. If there is data with repeated data_id, all data will be updated to Jodoo and the latest will be used.

4. Workflow form also supports Update Data Only. If you tick Initiate Workflow upon Import, workflows will be started when you import data. Up to 300 records initiated by a workflow can be added, or no new workflow records will be added.

5. Subforms do not support updating data only.

6. If values in Excel corresponding to this field are empty when you update data only, the data will not be updated and remains original value.

7. When you import and update data from permission sets, only single permission set is supported. (The combined permission set of All Data with Permission is not supported.)

8. If you have updated data, you cannot undo the update.
