Kanban View
Introduction
Feature(s)
Through a permission set, the Kanban view can be used to display grouped data in the form of cards.
Application Scenario(s)
The Kanban view is commonly used to classify data in scenarios such as task management and customer management:
- Task management: Display data in order based on current nodes of the task workflows.
- Customer management: Classify and display data based on the region or status of customers.

Members with permission to edit Grouping Field can adjust the group of records by dragging and dropping them in the Kanban view.

Setting Procedure
Creating a View
1. Select a form, and click Edit.
Go to Publish > Views, and click New View.
2. In addition to creating views in Publish > Views, an admin with corresponding view permissions can also create views by clicking New in the permission set.
Basic Settings of a View
After a view is added, rename the view as Kanban View. Select PC under Default Style, and select Kanban under Type.
Grouping Field
Grouping Field is used to display data in groups based on different categories.
1. Select a field.
Available field types include Radio, Single Select, Member, Department, and Created User (system field).
Note:
Only main form fields can be set as Grouping Field. Subfields do not support this feature.
2. Show the column with empty values.
If you set the Option to Custom for Grouping Field and tick the show column with empty value option, the groups without data will be displayed. Otherwise, they will not be displayed.
For example, select Custom under Option for the Task Progress field (Single Select). If you tick show column with empty value, the groups without data will also be displayed.
Display Fields
You can select some fields you need to display and choose whether to display field names or not:
Note:
1. Display field settings take effect only when the view displays by default. This will not influence fields displayed when you view a single record or fill out the form.
2. Members can only view the fields they have permission to access and can set display fields when viewing data regardless of the settings in Display Fields.
3. Up to 12 display fields can be set.
4. In a record, if one of the display fields is empty, this field will not be displayed in this record.
Cover Image
You can set the cover image for data and the image needs to come from the following form fields:
- Image
- Signature
For the cover image, you can also set the display position and display method:

In one record, if the field set as Cover Image is empty, there will be no cover image displayed for the record.
Card Size and Title
Data are displayed as cards in the Kanban view, and the card size can be set to Small, Medium, and Large. The following picture shows different card styles:
The card title is consistent with the record title and cannot be customized. To change the card title, you can only change the record title.
Sorting
1. Sort groups.
Group order refers to the order in which groups of records are displayed in permission sets. You can adjust it only when setting the view:
2. Sort fields.
Field order refers to the order in which fields are displayed in permission sets, which controls the display order of data in columns. You can adjust it when setting the view:
Note:
1. Field order settings take effect only when the view displays by default. This will not influence fields displayed when you view a single record or fill out the form.
2. You can set field order only when Display Fields is set to Custom.
3. Sort records.
Sorting records refers to row sorting, which controls the display order of data in rows. In Default Sorting Rules, click Add Sort to customize the sorting rules.
Note:
Each field can only be included in a sorting rule once, and you can add a maximum of five sorting rules.
Filter Conditions
When setting views, you can add corresponding filter conditions based on your needs in Default Filter Conditions:

When you filter data based on the Date&Time field, you can set a dynamic filter condition. Set the filter relationship as is within, and you can select the following filter values:
Today, Yesterday, Tomorrow, This Week, Last Week, Next Week, This Month, Last Month, Next Month, This Quarter, Last Quarter, Next Quarter, Last 7 Days, Last 30 Days, This Year, Last Year, Next Year.
Saving and Setting Application Scope
After finishing all settings, click Save. If you save the Kanban view for the first time, you can set its application scope directly. For details, see Views in Permission Sets on PC.
Granting Permissions
Grant permissions to members to access this view.
Demonstration
1. Adjust groups.
Members visit the form and select the permission set where the Kanban view is set. Members with corresponding permissions can adjust the position of records by dragging and dropping them in the Kanban view.
Note:
Members who do not have permission to edit Grouping Field cannot drag records into other groups.
2. Add records.
Members who have permission to add records can click Add to add records under a certain group.
When adding a record, the option of the grouping field will be selected automatically.
3. Batch settings.
Select multiple records, then export, delete, and edit them in batches.
For example, you can change the project leader in batches.

Note(s)
1. To set the application scope of the Kanban view, you need to ensure that the grouping field is ticked under View in the permission set, or you cannot set it.
2. When you drag records in the Kanban view, and the value of the grouping field changes, rules set in Data Linkage, Formula, Validations on form submission, and aggregate table verification will be triggered.
3. Drag records into other groups, and the value of the grouping field will be changed automatically.
