Managing Form Records (Members)

Introduction

Feature(s)

When members are assigned permission to manage form data, they can log in to Jodoo to import, export, delete, update, and print records in the form. This article will show you various actions on records and how a member with certain permissions can deal with records.

Application Scenario(s)

The feature applies to all scenarios in which you need to manage forms. For example:

  • In the case of product management, an employee with importing/exporting permission can import/export product records.
  • In the case of employee information management, an HR with managing permission can view and manage employee information, such as deleting, updating, printing records, and so on.

Setting Procedure

This article introduces various data managing operations based on the condition that members have full permission to manage all data. A business owner can set permissions for members in the custom permission sets based on actual needs. For details, see Custom Permission Set.

Where to Manage

In a form, after an admin set permissions for and publish the form to a member, the member can click the form and switch to member permissions in the permission set. Then the member can view and process records in the form according to their permissions. For example, if you switch to All Permissions – Peach in the permission set, you will notice that Peach has permissions to add, import, export, delete, batch select records, view action history, and so on.

Importing/Exporting Record(s)

1. Import records.

If there are too many records, you can add them in batches. Click Import on the form page. For details, see Importing Records.

Note:

A maximum of 10,000 records can be imported each time.

2. Export records.

a. On the permission set page, a member with the exporting permission can click Export to export filtered or all records.

Note:

If you have not set filter conditions, you can only export all records.

b. You can also tick several records to batch export them.

Deleting Records

Click Delete to delete filtered or all records.

Note:

If you have not set filter conditions, you can only delete all records.

Batch Action(s)

Members with the corresponding permissions can tick several records and batch export, batch delete, batch print, and batch edit them.

Note:

In All Data with Permission, you cannot batch edit fields through formulas. In the other permission sets, you are allowed to do so.

Action History

In History, you can view the history of batch editing and batch printing records in the form. For example, view the history of batch editing records.

Actions on One Record

Click one single record to enter the data details page. On the data details page, a member with certain permissions can print, copy, edit, delete records, and so on. The member can also view History and Comments.

Actions on Mobile

A member with certain permissions can also view records, switch permission sets, and view Data Logs and Comments on mobile.
